Job Summary We are seeking a full time Commercial Property Manager who will be responsible for the on-site management of assigned assets, including daily annual budgeting, operations, maintenance, tenant relations, and planning for capital improvements of a multi-building commercial portfolio consisting of office, flex and retail properties.

The successful candidate will have a demonstrated knowledge of industry best practices and be able to apply them in the timely resolution of the day-to-day operational issues. Will regularly interface with tenants and will serve as a tenant liaison to ensure a high level of tenant satisfaction. Regular in-person inspections of the properties in Waltham and Burlington will be an essential part of this role. This position reports to the Vice President of Commercial Property Management.

Responsibilities and duties: Working closely with asset manager, accounting department and VP of Property Management on reviewing and controlling all operational expenses and promulgating yearly operational and capital budgets. Partners with corporate accounting in providing information related to accruals, reforecasts and providing supporting information on budget variances. Also includes assisting in the collection of aging account receivables.

Manage daily operations of the assigned properties, ensure they are well maintained according to owners’ standards. The PM ensures the maintenance, upkeep and replacement of the buildings systems and infrastructure. Inspect or cause inspections and maintenance to be performed for building systems including underground site utilities.

Work with Owners, Asset Manager and VP of Property Management and in developing financial performance goals and objectives for the properties.

Collaborate with the Operations Manager for seasonal maintenance programs, quality control and improvement of all landscaped areas. Develop and modify as needed specification/scope of work for winter maintenance (snow plowing, de-icing), summer landscape program and review and approve proposals for each function.

Respond to all matters related to commercial tenants. Issue proposals to tenants for requested services/work and ensure work is completed in a timely fashion. Inspect work for quality control and proper invoicing after tasks are completed. Demonstrates outstanding customer service skills and the ability to build strong relationships with tenants with varying needs and demands.

Communicate terms of service, policies and procedures of the property and provide complaint resolution with tenants. Able to interpret and administer operational aspects of leases. The ability to effectively resolve situations or complaints from tenants, employees, or management. Serve as primary contact for coordinating tenant moves (in/out) and evaluating vacated spaces for compliance with the terms of the lease and re-marketability of the suite.

Identify and offer solutions to existing/potential operational, design or physical obsolescence deficiencies of assigned properties.

Research competition to stay abreast of competitor activities, and market opportunities. Provide insights and recommendations for property positioning and marketing strategies Develop new ideas to enhance the marketability and retention of tenants of each building and offer recommendations to keep pace with changing industry trends and standards.

Collaborates with Operations Manager on developing emergency response and safety standards, facility risk management and OSHA/MSDS policies and procedures. Ensure that annual inspections of building systems and other state or local mandated testing are completed as required.

Proven ability to prioritize, recommend, allocate resources, manage multiple tasks and projects and quickly adapt as objectives change.

May assist Duffy Construction and Operations Manager by managing/supervising small tenant renewal work or small project sized tenant requested alteration work.

Qualifications: A bachelor’s degree in a related field or comparable experience. Minimum of 3-5 years of commercial property management experience. Excellent written and verbal communication skills. Demonstrates strong organizational and planning skills and detail oriented. Good judgment, analytical and problem-solving skills. Demonstrates accuracy and thoroughness in work product and looks for ways to improve the quality of the tenant experience.

Preferred Qualifications: Project management of capital improvement projects is preferred. Demonstrated experience managing a multi-building portfolio with diverse profiles. Experience selecting, managing and evaluating the overall performance of 3rd party vendors. Able to thrive in a demanding environment with varying personalities.

Supervisory Responsibilities: Coordinate and direct maintenance and administrative staff to assigned properties.
