Job Summary
The Administrative Specialist for Buddhism-Informed Contemplative Counseling (BICC) & Nature-Based Transpersonal Counseling (NBTC) provides a variety of administrative and logistical support services. Under the direction of the Senior Academic Administrator for the Graduate School of Counseling, the Administrative Specialist works with the BICC Chair, NBTC Chair, the Clinical Instruction team, and faculty leadership to support the delivery of high-quality academic programs through the effective coordination and completion of departmental and concentration-level administrative tasks. This includes, but is not limited to: liaising with Human Resources on semester-to-semester hires; course scheduling; supporting faculty with both administrative tasks, curriculum, retreats, intensives, and special events.
This position does require flexibility with weekly working hours as some events may occur on evenings or weekends. The Administrative Specialist works closely with faculty leadership and the Senior Academic Administrator for GSC to ensure effective administrative support systems that meet the needs of the Department.
Job Duties & Responsibilities
• Serve as primary contact for faculty, staff, and students, coordinate facilities, IT, supply orders, reimbursements, scheduling, and meetings.
• Support program leadership teams, internships/practicums, accreditation, and data reporting.
• Liaise with internal university departments and contribute to a professional, service-oriented environment.
• Process HR forms, track agreements, and assist with onboarding semester-to-semester hires.
• Collaborate with faculty and Registrar on course schedules, registration, cancellations, and updates.
• Assist with developing and updating departmental policies and student guidebooks.
• Coordinate admissions interviews, enrollment events, and orientations.
• BICC Program: Organize new student orientation weekends, facilitate administrative meetings, support retreats, and process program forms.
• NBTC Program: Maintain calendars, Canvas courses, and student information.
• NBTC Program: Support program intensives, including logistics, safety compliance, and communication.
• NBTC Program: Facilitate community-building events, feedback opportunities, and alumni engagement.
• Other duties as assigned.
Minimum Requirements
• A bachelor’s degree in any field.
• Ability to create and maintain a positive team environment and behave professionally with everyone encountered in the course and scope of the job duties.
• 2 years previous administrative experience.
• Strong communication skills (oral, written, listening).
• Intermediate knowledge of Microsoft Office applications.
• Self-starter with strong organizational and problem-solving skills, flexibility, systems thinking, rigorous attention to detail and ability to manage multiple projects.
• Able to support events outside of normal working hours when required.
