Works-in-Progress Associates (WPA) is seeking an experienced Administrative Assistant to become an integral part of our team! This position will work with the Office of General Services (OGS) in Corning Tower, 100 S Mall Arterial, 35th Floor, Albany, NY.

  • Baccalaureate Degree in engineering/architecture and/or construction related field from an accredited college or university is preferred.
  • Minimum 7 years of full-time experience as an administrative assistant or office manager
  • A driver's license valid in New York State.
  • Demonstrated proficiency with all applicable software packages including but not limited to MS Windows; MS Office (including Project, Word, Excel, Outlook, and PowerPoint), Visio, and Adobe Acrobat.
  • Must be authorized to work in the United States
  • Must be willing to undergo a background check, in accordance with local law/regulations.

  • Demonstrated proficiency with all applicable software packages including but not limited to MS Windows; MS Office (including Project, Word, Excel, Outlook, and PowerPoint), Visio, and Adobe Acrobat.
  • Must be authorized to work in the United States
  • Must be willing to undergo a background check, in accordance with local law/regulations.

Responsibilities include, but are not limited to:

  • Provide assistance in Contract Management for various duties, including reviewing specs, bidding contracts, preparing documentation for contract award by OSC, and working alongside Contract Management Specialists within the Division of Contract Management.
  • Assist with cost review of cost, plus project payments, and procedure documentation and improvement.
  • Draft letters with little direction.
  • Prepare specialized meeting agendas.
  • Create spreadsheets.
  • Create organization and flow charts in Visio.

  • Ability to build and strengthen long-lasting client relationships by providing reliable service and project solutions.
  • Ability to communicate clearly and effectively with all management levels. Must have excellent interpersonal, oral, and written communication skills.
  • Must have strong organizational and time management skills.
  • Must be able to adapt and prioritize, meeting deadlines, in a fast-paced environment.
  • Operate with a sense of urgency, quickly responding to clients.
  • Demonstrated leadership, responsiveness, and accountability.
  • Detail oriented with strong analytical skills.
  • Proactive and take initiative.

Company Description

WPA is a woman-owned Owner's Representative firm and we manage construction projects for mostly nonprofits including schools, hospitals, libraries, etc. in the New York City area. We have been in business for over 30 years and have completed well over 400 projects. We currently have somewhere between 40-50 employees.

Because we are a woman-owned firm we are on contracts with larger Construction Management firms such as LiRo, Hill International, Jacobs, Tectonic, Gilbane, etc. and we help them to meet their WBE goals. We provide Project Managers, Inspectors, Estimators, Office Engineers and so on. Currently we are on about 10-15 different contracts.
