National Life Group’s Texas Agency is seeking a motivated and detail-oriented Executive Assistant to support our fast-growing and collaborative workplace. In this role, you will manage calendars, coordinate meetings and travel, draft correspondence, maintain digital filing systems, and provide general administrative support to ensure smooth daily operations. The position also involves handling client inquiries, preparing reports and presentations, overseeing office equipment and supplies, and assisting with event coordination. The ideal candidate will be proficient in Microsoft Office, highly organized, adaptable, and able to communicate professionally both in writing and verbally. Strong time management skills, attention to detail, and a proactive approach to problem-solving are essential. Responsibilities: • Provides administrative support to ensure efficient office operations. • Maintains digital filing systems. • Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors. • Responds to emails and other digital queries and correspondence. • Manage calendars for senior staff, including making travel arrangements. • Drafts and edits letters, reports, and other documents. • Prepares meeting agendas and coordinates logistics, including room setup and catering. • Operates and maintains office equipment, including printers, copiers, and fax machines. • Works with maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand. • Compiles and summarizes information for reports or presentations. • Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations. • Ensures that deadlines are met and adapts to changing priorities. • Presents a positive and professional image for the organization. Qualifications: • Familiarity with standard office platforms, such as Microsoft Office and Excel. • Proficient in various office technology platforms. • Data management and entry skills, including the ability to maintain and improve filing systems. • Strong written and verbal communication skills. • Time management, multitasking, and flexibility. • Organizational skills. • Accuracy and attention to detail. • Interpersonal skills, professional and courteous demeanor, and excellent office and phone etiquette. • Proactive approach to problem-solving and process improvement. • Ability to work well independently and in collaboration with others. • Event planning and coordination.
