Job Summary

The Office Receptionist serves as the first point of contact for clients, visitors, and staff. This role is responsible for greeting guests, managing the front desk, handling phone and email communications, and performing a variety of clerical duties to support smooth office operations. The ideal candidate is friendly, organized, professional, and able to multitask.

Requirements

  • Welcome and greet visitors/clients professionally; direct them or take appropriate action.
  • Answer, screen, and forward incoming phone calls; take messages and ensure timely follow-up.
  • Handle incoming/outgoing mail, packages and courier deliveries.
  • Maintain the reception area: ensure it is clean, tidy, and presentable.
  • Manage front-office supplies; monitor inventory and order new supplies as needed.
  • Maintain office equipment: ensure copiers, printers, fax machines are stocked and functioning; report issues to maintenance or vendors.
  • Assist staff and management with clerical tasks: copying, scanning, filing, data entry, preparing documents.
  • Manage emails addressed to the general office or reception; respond or route to the appropriate person.
  • Maintain and update office phone lists, employee directory, and other reference sheets.
  • Occasionally support other administrative staff or projects (e.g., filing, mail merges, budget expense tracking).
Required Skills & Qualifications
  • High school diploma or equivalent.
  • Some experience in a receptionist, customer service, or administrative support role preferred.
  • Excellent verbal and written communication skills.
  • Professional and friendly demeanor; strong customer-service orientation.
  • Strong organizational skills; ability to multitask gracefully.
  • Basic computer skills: Microsoft Office (Word, Excel, Outlook); familiarity with phone systems; ability to learn new software.
  • Attention to detail, punctuality, reliability.
Preferred Qualifications
  • Previous experience in a similar office environment.
  • Experience using scheduling/calendar software or facilities-management tools.
  • Ability to handle confidential information with discretion.
Working Conditions & Physical Requirements
  • Standard office environment.
  • Typically standing for periods, walking between departments.
  • May need to lift light objects (office supplies, small packages).
  • Some periods may be busy (phone/email volume, visitor traffic).
