Role Summary
As the Executive Administrative Assistant, you’ll provide high-impact, seamless support to three of our clients C-Suite executives. Your ability to juggle advanced scheduling, refined communication, and polished presentation tasks will ensure leadership can stay focused on strategic priorities.
Key Responsibilities Complex Calendar & Schedule Management:
Coordinate, prioritize, and optimize calendars—balancing internal priorities, external engagements, and critical prep time. Professional Communication:
Draft, curate, and manage both routine and confidential emails and correspondence on behalf of the executives. Presentation & Materials Support:
Create, format, and edit PowerPoint decks and other presentation materials for board meetings, leadership reviews, and external stakeholder engagements. Meeting Coordination & Follow-Up:
Prepare agendas, meeting briefs, support virtual and in-person logistics, and track post-meeting action items. Travel & Logistics:
Arrange and manage complex domestic/international travel itineraries, including accommodations, transportation, itineraries, and adjustments as needed. Expense & Administrative Workflow:
Submit and reconcile executive expense reports, manage document filing, and support ad hoc administrative projects. Discretion & Collaboration:
Handle highly confidential information with integrity, and collaborate with internal teams to ensure seamless effectiveness across functions.
What We're Looking For Experience:
2–5 years in an executive-level administrative role—preferably supporting multiple C-Suite executives. Skills:
Advanced proficiency in Microsoft Office (especially PowerPoint and Outlook), comfortable with scheduling tools and virtual meeting platforms. Traits:
Exceptionally organized, detail-oriented, anticipatory, proactive, and able to manage shifting priorities in a fast-paced environment. Communication:
Excellent written and verbal communication; polished, professional, and confident in representing executives. Confidentiality:
High discretion and integrity when managing sensitive information.
