Overview
Neurotech Pharmaceuticals is an innovative biopharmaceutical company located in Cumberland, RI and Needham, MA, within Greater Boston’s biotechnology landscape. We have been developing a proprietary drug delivery platform for retinal disorders and are advancing a program to treat Macular Telangiectasia Type 2 (MacTel). We are seeking a seasoned Administrative Assistant to provide comprehensive administrative support to the Commercial team, ensuring smooth and efficient operations. This role requires a detail-oriented individual with excellent organizational skills and the ability to handle confidential information with discretion.
This is a hybrid role in Needham, MA. Remote days should coordinate with the people supported.

Responsibilities
- Manage executives’ calendars, including scheduling meetings, appointments, and travel arrangements.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Coordinate and facilitate communication between executives and internal/external stakeholders.
- Organize and maintain electronic and physical files, ensuring easy access and confidentiality.
- Monthly completion of executives’ expense reports.
- Attend meetings as requested to keep meeting minutes.
Meeting and Event Coordination
- Plan, coordinate, and execute internal and external meetings, including logistics, agenda preparation, and follow-up.
Travel Management
- Arrange complex domestic and international travel itineraries, including flights, accommodations, and transportation.
- Prepare detailed travel itineraries and assist with travel-related documentation.
Project Assistance
- Support executives in various projects, including research, data analysis, and tracking project milestones.
- Collaborate with cross-functional teams to ensure timely completion of projects and initiatives.
Office Management
- Oversee office supplies and equipment, coordinating with purchasing and IT to ensure availability and functionality.
- Keep kitchen and office supplies stocked and available for employees and visitors.
- Coordinate with facilities management for office maintenance and repairs.
- Package and Mail receipt and disbursement.
- Management of office visitors.
Education & Experience
- Minimum of 5 years of experience in an administrative role, preferably in the biopharmaceutical or healthcare industry.
Knowledge, Skills & Abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Excellent organizational and time-management skills with keen attention to detail.
- Strong written and verbal communication skills.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Discretion and professionalism in handling confidential information.
- Familiarity with biopharmaceutical terminology and processes is advantageous.
- May require extended hours or availability outside of standard business hours to accommodate executive schedules.
