Position Summary and Responsibilities
Based at our Columbus or Mason, Ohio office, the Administrative Assistant supports daily school operations with a primary focus on attendance, truancy, and student records. Key responsibilities include monitoring and tracking attendance, coordinating truancy interventions, maintaining accurate student records, and providing general administrative support to staff. The role also involves regular communication with families, staff, and external partners, including other schools.
Primary Duties
Truancy & Attendance Support
Schedule and conduct truancy meetings with caretakers/guardians.
Answer and direct phone calls, emails, and parent inquiries regarding student attendance.
Send attendance and truancy notification letters to families at various stages of the process.
Utilize pivot tables in Google Sheets to monitor student attendance trends and engagement.
Perform mail merges to send out attendance notices to families.
Student Records
Request, receive, and process student records from other schools.
Send official student records upon withdrawal or transfer.
Coordinate with other schools to obtain required records.
Calling families and schools to follow up on enrollment.
Other duties as assigned
Requirements
High school diploma, or equivalent required
1–2 years of administrative experience preferred
Proficiency in Microsoft Office and Google Workspace (Mail, Calendar, Drive, Docs, Sheets, etc.)
Intermediate skill level in Excel/Google Sheets
Strong communication skills (oral and written)
Strong interpersonal skills, customer-focused, and detail-oriented
Ability to multitask and adapt in a fast-paced, team environment
Ability to maintain confidentiality (FERPA compliance)
Must pass FBI and BCI background checks (per Ohio law)
Must be able to use a personal electronic device and email for two-step authentication
