We are seeking a motivated Assistant Project Manager (APM) to support our Project Management team and help drive operational excellence across our growing portfolio of projects.

Key Responsibilities

The Assistant Project Manager will play a critical role in coordinating project activities, supporting field operations, and ensuring seamless communication between teams, vendors, and clients. Responsibilities include:

Submittals & Procurement

  • Prepare and manage submittals to confirm compliance with material specifications (soil, mulch, compost, stakes, aggregates, etc.).
  • Develop material lists, vendor RFQs, and requisition forms.
  • Review planting plans to ensure accurate species selection (evergreens, shrubs, grasses).
  • Coordinate plant material substitutions.

Purchasing & Documentation

  • Manage purchase orders, obtain signatures, and maintain proper filing.
  • Prepare pencil requisitions and AIA payment applications.
  • Oversee tax exemption documentation and follow up with vendors.
  • Assemble drawing packages for supervisors and foremen.
  • Prepare and manage closeout documentation.

Project Coordination

  • Review drawing revisions, plan changes, and perform quantity takeoffs.
  • Draft and respond to RFIs/RFCs/RFDs.
  • Coordinate daily activities and priorities with supervisors, foremen, and drivers.
  • Manage material deliveries, freight details, and logistics.
  • Call 811 for utility mark-outs and coordinate with utility companies.
  • Tag plant material with nurseries and coordinate inspections.

Field & Safety Support

  • Distribute PPE and apparel to field personnel.
  • Ensure safety compliance through JHAs, toolbox talks, and daily huddles.
  • Assist with punch lists and project closeouts.
  • Attend project meetings and walkthroughs, documenting and relaying critical information.

Financial & Administrative Support

  • Collaborate with PM and Senior PM on budget tracking and invoice preparation.
  • Handle material and tool requests from field supervisors.

Qualifications

  • Bachelor’s degree in Construction Management, Civil Engineering, Landscape Architecture, or related field (preferred but not required).
  • 1–3 years of experience in construction project management, landscape/site construction preferred.
  • Strong organizational and documentation skills.
  • Familiarity with AIA billing, submittals, and construction documentation.
  • Ability to interpret drawings and perform quantity takeoffs.
  • Excellent communication and coordination skills.
  • Proficiency in Microsoft Office Suite; experience with project management software a plus.
