Position: Executive Assistant to the CEO

Overview As Executive Assistant, you will be crucial to the daily operation, coordination and support of the CEO and all the details related to her daily activities. You will serve as the point of contact for internal and external stakeholders while assisting in the coordination and execution of strategic initiatives, operations activities and personal planning for the CEO. This position requires exceptional organizational skills, attention to detail, and managing multiple tasks in a fast-paced environment. Responsibilities
Manage the CEO’s calendar, scheduling all meetings & appointments, adapting to changes quickly as they arise Manage CEO’s to-do list through a project management program, making sure all relevant information is easily accessible, dates remain updated & proactively own follow-ups to keep tasks moving forward Communicate daily with the CEO on priorities, upcoming meetings & events and proactively monitor the next 3-4 weeks of the calendar for early preparation and avoiding schedule incompatibilities Oversight on the CEO’s email inbox flagging key communications, responding to inquiries and meeting requests, and ensuring priority emails are logged for CEO’s review & response Prepare and organize meeting materials, agendas, and minutes; following up on action items proactively based on agreed timelines Handle day-to-day administrative tasks, including filing, data management and document management. Handle the planning, booking & coordination of all travel for the CEO Qualifications
3+ years of experience in executive assistance, or a related role, preferably within the media, entertainment, or visual effects industry and preferably with experience supporting executives in founder-led or entrepreneurial businesses Bachelor’s Degree in the Arts (i.e., Film, CG), Communications, Marketing or Business, is preferred. Iron-clad organizational skills with the ability to manage multiple projects and deadlines simultaneously. Excellent verbal and written communication skills with a keen eye for detail. Highly proactive with strong ability to look ahead and identify problems before they arise Proficiency in project management software and Microsoft Office Suite; familiarity with Monday.com is a plus Ability to work independently and collaboratively in a fast-paced environment, takes initiative and completes tasks without constant supervision. A proactive and positive attitude, with a genuine interest in VFX, business development, and strategy.
