I.K. Hofmann USA is seeking a detail-oriented and organized Administrative Assistant to join our team. We are part of an international staffing and HR services firm with 39 offices across 17 countries, offering tailored solutions to clients in logistics, automotive, aviation, and more. Adminstrative Assistant, you will play a key role in supporting daily office operations, ensuring smooth processes, and providing exceptional service to both internal teams and external clients.
Job Description
Provide administrative support to managers and team members, including scheduling, filing, and correspondence.
Ensure accurate and timely data entry into company systems.
Assist with preparing reports, maintaining records, and organizing documentation.
Manage incoming calls, emails, and office communications in a professional manner.
Support coordination of meetings, travel arrangements, and office events.
Ensure invoices, forms, and documents are processed accurately and on time.
Assist with client communication while maintaining high customer service standards.
Contribute to maintaining positive relationships with vendors, clients, and colleague

Essential functions:
- Must be able to remain in a stationary position 50% of the time.
- Occasionally move about inside the office to access invoices, office machinery, etc.
- Constantly operating a computer and other office productivity machinery such as a computer, calculator, copier, and printer.
- Excellent communication skills, both verbal and written. Must be able to exchange accurate information in this situation.
- Work effectively via phone, fax, e-mail. Good planning and organization skills; ability to multitask and be a self-starter
Work Environment:
- Office Setting- Working with others
- Occasionally work in extremely bright or dim lighting conditions.
Requirements:
- Education: GED/High School desired Experience
- Solid knowledge of domestic and international geography including countries, major cities and ocean ports along with basic knowledge of U.S. Regulatory Laws
- 1 year of Freight Forward experience
Previous administrative or office support experience strongly desired.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Strong organizational skills and ability to prioritize multiple tasks.
Customer service-oriented mindset with a professional demeanor.
Shift hours & Payrate:
Monday to Friday 8am to 5pm
Payrate $20 an hour
