Executive Administrative Assistant
to support senior team members while also assisting with reception and operational responsibilities in the New York office, for a financial services client. The ideal candidate will thrive in a fast-paced environment, balancing complex schedules, travel coordination, and administrative tasks with discretion and efficiency. Key ***** Provide seamless administrative support to professionals across varying seniority levels Manage complex calendars and coordinate meetings across multiple time zones Coordinate domestic and international travel, preparing detailed itineraries and tracking changes Process expenses, payments, and itinerary adjustments with accuracy and timeliness Handle incoming mail, email, correspondence, and confidential requests with sound judgment Provide phone and inbox coverage for team members and EA colleagues as needed Serve as a liaison with internal departments, external vendors, and business contacts Assist with office events, team functions, and reception/visitor management Manage sensitive documents, presentations, and multi-party signature requests
***** 3–5+ years of executive assistant or office administration experience (financial services industry preferred) Demonstrated ability to support multiple senior leaders simultaneously Proficiency in Microsoft Outlook, Excel, Word, and PowerPoint Exceptional organizational skills with strong attention to detail Excellent written and verbal communication abilities Professional, discreet, and capable of managing confidential information Team-oriented with a proactive, solutions-focused mindset #43347
