Responsibilities

  • Supports management in clerical activities and administrative decisions. Performs office management functions and coordination. Acts as liaison between management and staff in the department.
  • Assembles data and prepares routine and non-routine reports.
  • Researches and provides information on issues affecting students, staff and/or the department.
  • Opens, organizes, and screens mail.
  • Composes and prepares routine and non-routine correspondence for supervisor's signature.
  • Answers telephone, screens and refers calls, and takes messages.
  • Maintains calendar and makes travel arrangements.
  • Prepares, schedules and reserves rooms for meetings as directed.
  • Establishes filing systems and maintains current files for the department, including internal and external correspondence.
  • Maintains departmental budget reports and related documentation; utilizes purchasing card and prepares requisitions for supplies and materials.
  • Operates and, if needed, trains on standard office equipment.
  • Plans, initiates, and completes recurring or special assignments.
  • Takes minutes of meetings, prepares confidential documents, and follows up to ensure timely replies and actions.
  • Maintains control of action documents and follows up on outstanding items.
  • Accesses, inputs, and retrieves information from computer and college databases.
  • Establishes and maintains professional relationships with individuals at all levels within the college and the community.
  • Performs other duties as assigned.

Qualifications

  • Required Education: High school diploma or GED.
  • Required Field of Study: Other.
  • Relevant work experience may be substitutable.
  • Drivers License: Not Applicable.

Preferred Qualifications

  • Advanced secretarial training.
  • Progressively responsible experience involving staff assistance and advanced clerical/secretarial work with the ability to work without close supervision.

Knowledge, Skills and Abilities

  • Knowledge of basic office practices.
  • Skill in the use of personal computers, general office software, typewriters, and office machines.
  • Ability to take minutes of meetings and prepare/edit various documents, including reports and spreadsheets.
  • Clear and effective written and spoken communication.
  • Ability to establish and maintain effective working relationships with employees and the public.
  • Ability to organize work, prioritize changing needs, manage multiple projects, and meet deadlines.
  • Ability to maintain departmental budget reports and documentation.
  • Ability to work effectively with the community and meet student needs.

Working Conditions

This job primarily operates in a professional office environment. Routine use of standard office equipment. Noise level is usually quiet to moderate. Physical demands include lifting 5-15 pounds and frequent movement. Cognitive demands include discretion, judgment, problem solving, confidentiality, and decision-making.
