has partnered with us to place a culture-driven, professional, proactive, extremely organized and solutions oriented individual in the role of
Executive Assistant (EA) to the Chief People & Values Officer (CPVO) . The EA will amplify the impact of the CPVO & their organization by serving as a strong right hand and trusted, strategic partner, ensuring seamless administrative operations while driving efficiency across all aspects of a complex business, supporting strategic goals and initiatives, and providing personal support as needed. Hours:
9/9:30am-6/6:30pm with flexibility to arrive earlier & stay later when needed. Additional flexibility/availability is needed to receive communications & provide support outside of normal business hours (including evenings/weekends), responding to urgent needs immediately, and prioritizing others accordingly.
Hybrid:
This role requires an in-office presence Monday-Thursday, with an option to work-from-home Fridays.
Note:
There will be requests to come into the office on certain Fridays to provide support to the team & business.

Key Responsibilities Include (but not limited to): Serve as a strategic liaison between the CPVO and key internal and external stakeholders, ensuring alignment of communication and priorities, while facilitating critical interactions and advocating for direct reports when necessary Proactively maintain the CPVO’s calendar, ensuring seamless coordination, prioritizing the most time sensitive matters as scheduling conflicts & last minute requests arise, and ensuring all documents are prepared in advance of meetings Must be able to effectively manage, prioritize, and respond to multiple channels of communication—including email, text, and other messaging platforms—while maintaining professionalism, timeliness, and clarity Receive, review, and respond to communications in a timely & professional manner, determine the importance of the communication, and summarize and distribute to the CPVO and/or company personnel Work closely with the CPVO to keep her well informed of upcoming commitments and responsibilities, following up appropriately Oversee travel arrangements and itineraries for the CPVO (& additional staff when needed),and own department expense reporting process, ensuring accuracy, compliance with organizational policies and adherence to fiscal deadlines Monitor the CPVO’s email inbox, filtering emails and prioritizing what needs immediate attention while maximizing productivity, and responding on her behalf when appropriate Collaborate with other departments to gather information and facilitate cross-functional communication Prioritize inquiries and requests while troubleshooting conflicts, and make judgments and recommendations to ensure smooth day-to-day engagements Proactively support all aspects of meetings, ensuring seamless logistics such as scheduling, invitations, virtual and in-person setups, coordinating refreshments, etc, and preparing relevant materials and data in advance to enable the CPVO and participants to focus on meaningful outcomes Capture and summarize key discussion points, decisions, and action items during meetings, ensuring accurate and timely execution of deliverables and priorities Anticipate needs by analyzing information, preparing briefing materials, and distilling information into actionable insights to support strategic decision-making Maintain the privacy and confidentiality of leadership operations, including communication of confidential information Coordinate internal special events and support office and campus initiatives, ensuring all spaces and experiences are reflective of brand standards Act as a "barometer," having a sense for the issues taking place in the office, keeping the CPVO updated as needed Answer the phone, take accurate messages, keep track of CPVO’s whereabouts, and handle urgent calls with appropriate judgment Manage, compose and prepare confidential correspondence, reports, and other complex documents, proofing and editing of all documents to ensure accuracy and consistency Further refine systems and processes to maximize efficiency Maintain address/contacts lists, and be proactive in recognizing when to send thank you notes, gifts, etc. to personal & professional contacts, and recognizing employee birthdays and employment anniversaries Provide personal assistance as needed Other related duties as assigned
Experience/Education: 5+ years of experience as an Executive Assistant or similar role supporting senior leadership in a high-paced environment, with 2+ years of experience directly supporting C-Suite executives Tech savvy; Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word), Google Workspace (Sheets, Docs) and Apple technology; experience in the preparation of presentations & visuals collateral (building from scratch & using templates); comfortable working on both Macs and PCs Familiarity with travel arrangements, expense management systems (e.g., iExpense, Kofax) and Human Capital Management (HCM) tools
