Our client, an independent investment advisory firm, is seeking a

Client Service Associate

to join their team. This role is essential in maintaining strong client relationships, supporting partners and advisors, and ensuring the seamless management of client accounts. The ideal candidate is detail-oriented, client-focused, and thrives in a quiet yet fast-paced office environment. Responsibilities Serve as a primary point of contact for clients—address inquiries, resolve issues promptly, and maintain trust and satisfaction. Assist with account openings, transfers, maintenance, and annual RMDs, ensuring compliance with regulatory requirements. Monitor client accounts and flag discrepancies, significant money movements, or issues for follow-up. Provide clients with updates on portfolios, explain investment strategies, and prepare materials for client meetings. Support partners and advisors with quarterly statements, reports, PowerPoint presentations, and gifting/tax planning activities. Collaborate with advisors, compliance officers, and other team members to deliver excellent client service. Coordinate quarterly tax payment mailings and other client-related communications. Maintain accurate and organized records of client interactions and transactions. Participate in team meetings and contribute to process improvements. Provide general administrative support including phone coverage, mail management, ordering supplies, scheduling, and event planning. Stay informed on industry trends, regulations, and firm policies, and pursue relevant training or certifications. Qualifications 2–5 years of experience in a Client Service Associate role, preferably within financial services. Experience with Fidelity systems or other custodians (Schwab, Pershing, etc.) highly preferred. Bachelor’s degree in finance, business, or related field preferred, but not required. Strong client-facing, communication, and interpersonal skills with a proactive, service-oriented mindset. Highly organized and detail-oriented, with proven problem-solving abilities. Knowledge of regulatory requirements and compliance in the financial services industry. Ability to thrive in a quiet but busy office environment while collaborating effectively with the team. Proficiency in Microsoft Office Suite and CRM systems.
