As we continue to grow, we are looking for an A-Level Construction Office Administrator to join our team and help streamline operations across the company.

Role Description - Construction Office Administrator (Certified Payroll + Quickbook)

The Construction Office Administrator will be the backbone of our operations team, ensuring that administrative processes run smoothly across payroll compliance, accounting support, and project administration. This individual will work closely with the CFO, CEO, and project management team to manage certified payroll, track compliance, handle contract documentation, and provide general office support. This role is ideal for someone with a construction background who thrives in an organized, detail-oriented environment and can confidently juggle multiple priorities.

Key Responsibilities

  • Certified Payroll & Compliance

-Prepare and submit certified payroll reports (DIR, LCPtracker, etc.)

-Track subcontractor compliance documents (insurance, licenses, W-9s)

-Maintain accurate labor classification and prevailing wage documentation

  • Accounting Support

-Review and assist with QuickBooks entries (invoices, payments, job cost coding)

-Track change orders, pay applications, and contract billing

-Maintain and update Excel spreadsheets for budgets, contracts, and payroll.

  • Office & Project Administration

-Draft, distribute, and track contracts, change orders, and other project documents

-Maintain organized digital and physical filing systems

-Support project managers with administrative needs (logs, schedules, meeting notes)

-Handle day-to-day office tasks including scheduling, email correspondence, and document control

Qualifications

  • Required:

-3+ years of administrative experience in construction or related industries

-Experience with certified payroll reporting (California prevailing wage)

-Strong QuickBooks and Excel skills

-High attention to detail with excellent organizational skills

-Ability to manage multiple projects and deadlines simultaneously

-Professional written and verbal communication skills

  • Preferred:

-Knowledge of California construction compliance (DIR, insurance, subcontractor tracking)

-Familiarity with project management processes (RFIs, submittals, schedules)

-Experience supporting executives or project managers in a fast-paced environment
