Role Overview

Knightsbridge Park – a leading marketing agency in luxury real estate and hospitality – is seeking a dynamic and highly motivated Agency Manager. In this exciting role, you’ll be the central orchestrator of agency operations—overseeing internal operation systems, client budget management, accounting workflows, vendor relationships, and standard operating procedures (SOPs) to keep the agency running flawlessly. We’ll also look to the Agency Manager to spearhead important initiatives to streamline and automate processes—leveraging integrations, AI tools, and best-in-class platforms—to drive efficiency and scale our operations.

Key Responsibilities Systems & Process Ownership Administer and optimize internal workflows on systems such as Airtable, Excel, Google Drive, and QuickBooks with our external accounting team Lead automation and AI-driven process improvements, such as budget management, operational improvements, creative workflows, and optimizing lines of communication Accounting & Financial Oversight Oversee our external accounting team to ensure accurate invoicing, A/P, A/R, and month-end reconciliation Manage communication between our clients, client relations team, and accounting team to triage inquiries, route client questions, and resolve payment issues Document, enforce, and continually refine SOPs for media budget management, invoicing, expense management, freelance support, and ad-hoc budgeting Vendor & Partner Management Liaise with and manage insurance brokers, benefits providers, software vendors, and Upwork contractors to ensure compliance and share opportunities and updates with leadership and the broader team Maintain contracts, negotiate service levels, and manage renewals or replacement services Manage logistical and operational support for virtual assistants and freelancers

Team Coordination & Communication Serve as a primary point of contact between Leadership, Client Services, Accounting, and HR Onboard and train new hires and external partners on our systems and processes Lead regular status meetings, focusing on the categories outlined within this job description, with clear agendas and action items Compliance & Documentation Oversee benefits enrollment deadlines, insurance renewals, and IT security policies (2-factor authentication, access controls) Maintain clean folder structures and audit logs for accounting, HR, and legal documentation Ensure consistent agency-wide alignment with documented workflows and internal protocols

Qualifications 2+ years in operations, studio/office management, or systems administration with accounting exposure Proficiency in Airtable (or similar project management tools), Google Workspace, Excel, and QuickBooks Demonstrated experience managing external accounting teams and vendor relationships Passion for process improvement, automation, and exploring AI solutions Exceptional organizational skills, attention to detail, and a solutions-oriented mindset Strong communicator who thrives in a fast-paced, entrepreneurial environment Bachelor’s degree or equivalent work experience preferred
