About the Role Fudale Events is seeking a detail-oriented and imaginative Creative Event Coordinator to support our Creative team while also assisting with program operations. This role bridges the gap between conceptual design, client proposals, and vendor management, ensuring smooth program execution and consistent margin tracking. The Creative Event Coordinator will play a key role in margin updates, vendor outreach, and creative asset management, and assistance with proposal development while collaborating with Sales and Operations to deliver innovative, high-quality events. Key Responsibilities Creative & Proposal Development · Assist the Creative Manager in building visually compelling client proposals using Canva. · Gather, organize, and update proposal details in CRM systems (dates, client demographics, preferences, theme direction, budgets, deliverables, deadlines), as needed. · Maintain and update creative assets, including slides for sites, décor, furniture, and entertainment. Financial & Contract Support Assist with calculating and updating program margins to ensure profitability. Assist Operations with invoices for events, as needed. Track vendor quotes to ensure accurate pricing is reflected in proposals and contracts. Update HubSpot with contract and margin notes, ensuring all documents are accessible to the team. Collect vendor quotes & start internal estimates. Vendor & Client Coordination Conduct research and manage outreach to vendors for décor, entertainment, transportation, and other program elements. Obtain quotes, confirm availability, and maintain regular communication with vendors throughout the proposal and business development phase of the program lifecycle in coordination with Operations partners. Attend site inspections, vendor meetings, and client walk-throughs. Ensure hotel inclusions and vendor details are documented for Operation partners. Project Workflow & Handoffs Assist creative management with ensuring proposals are properly documented in HubSpot and transitioned to Operations once contracted, as needed. Support Sales and Creative with RFP intake, ensuring all necessary details are gathered before handoff. Attend turnover/debrief meetings to align Creative and Operations on contracted programs. Provide ongoing creative or vendor support for program updates or changes (e.g., new event additions, significant design updates, etc.). General Support Stay informed on industry trends, creative technologies, and event design inspiration. Assist with maintaining supplier/vendor databases and the company tariff. Support Fudale Event's marketing efforts and industry presence. Represent Fudale Events at networking events, trade shows, and hospitality industry gatherings. Minimum Qualifications & Expectations Bachelor's degree focused in Event Management, Hospitality, Marketing, or related field preferred. Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with HubSpot and/or related CRM systems. Strong financial and organizational skills; ability to track and support margins and assist with contracts. Knowledge of Las Vegas venues, hotels, restaurants, and entertainment vendors strongly preferred. Excellent communication skills with a client-first mindset. Professional appearance and ability to represent Fudale Events in client-facing situations. Flexibility to work evenings and weekends as needed. Schedule Requirements Monday–Friday, 9:00 AM – 5:00 PM (in-office required; remote work only for pre-approved days or special circumstances). Compensation & Benefits Full-time, salaried position: $50,000 – $55,000 per year, based on experience 75% health and dental coverage after 90 days of employment. Vision and life insurance coverage available. 10 business days PTO annually; accrual begins on first day, usage after 90 days. 401(k) eligibility with contribution and discretionary profit sharing.
