Key Responsibilities Office Setup & Launch Lead all logistics for establishing a new office: equipment setup, vendor coordination, and compliance with local building and safety regulations. Oversee rollout of office layout, technology infrastructure (hardware, Wi-Fi, business systems), supplies, and furniture to create a welcoming, efficient work environment.
Culture & Employee Experience Foster a positive, inclusive office culture aligned with organizational values. Plan and execute team events, wellness initiatives, and cultural touchpoints to strengthen engagement and morale. Serve as an approachable, trusted office liaison for employees.
Policy, Procedures & Administration Develop and maintain office policies and procedures, covering expense guidelines, visitor protocols, equipment use, onboarding checklists, and emergency readiness. Support creation of an employee handbook or operations manual that balances company culture with compliance requirements. Implement systems for task tracking, office requests, and maintenance workflows.
Cross-Functional Operations & Systems Act as the central hub for operational efficiency, working closely with team leads across functions (marketing, finance, IT, HR, etc.). Manage vendor relationships (cleaning, security, courier, office services) for quality and cost efficiency. Oversee administrative tasks: scheduling meeting rooms, coordinating visitor access, managing mail, and tracking supplies. Produce reports on office usage, expenses, and process improvements.
Technology & Tools Proficiency Advanced user of Microsoft Office (Outlook, Word, Excel, PowerPoint). Comfortable with office technologies and collaboration tools such as shared calendars, cloud storage, ticketing systems, and video conferencing platforms.
Qualifications 3–5 years of experience in office management or related roles, ideally within a creative or fast-growing company. Proven experience planning and launching new office spaces or leading major operational transitions. Strong background in creating and managing policies and procedures. Demonstrated ability to foster positive office culture and employee engagement. Exceptional organizational, multitasking, and communication skills. Strong proficiency in Microsoft Office and office technologies. Resourceful problem-solver with a proactive mindset.
