A New Jersey-based pharma company is looking to fill an immediate need with the addition of a new Administrative Assistant to their team.
***This is a Hybrid opportunity requiring the qualified professional to work onsite at least 3 days a week.***
Responsibilities:
- Assist in preparing and processing task orders and agreements
- Support contract execution workflows, ensuring accuracy and timely routing
- Coordinate with internal stakeholders (Legal, Procurement, Finance) for contract reviews and approvals
- Maintain tracking systems for contract and task order status updates
- Utilize SAP to process purchase order
- Arrange domestic and international travel for team members
- Book hotels, flights, and local transportation in accordance with corporate travel policy
- Maintain travel itineraries and support expense reconciliation when required
- Organize team workshops, department meetings, and cross-functional events
- Coordinate catering orders and luncheon setup for in-person sessions
- Manage venue bookings and technical logistics (AV, supplies, agendas, etc.)
- Maintain contract and task order files in shared drives or document systems
- Track deadlines and assist in follow-up communication
- Provide general support to the team as needed during peak workload periods
Qualifications:
- 1+ year of Administrative experience
- High School Diploma / GED
- Experience of working with tools like SAP, Word, Outlook, SharePoint etc.
- Strong written and verbal communication skills
- Excellent organizational and time management abilities
- Attention to detail and ability to manage multiple priorities
- Professional, dependable, and able to maintain confidentiality
Desired Skills:
- Associate's and/or Bachelor's Degree
- Working knowledge of SAP System Support
