Administrative Support – Real Estate
Summary
LHH is seeking a detail-oriented and organized professional to provide administrative support for a busy Real Estate practice group. This role includes managing secretarial overflow and assisting with transaction closings.
Qualifications
- Highly organized with strong attention to detail.
- Ability to manage multiple tasks and prioritize effectively.
- Background in real estate legal support preferred.
- California notary license is beneficial.
- Associate’s or bachelor’s degree is a plus.
Responsibilities
Closing Support
- Assemble transaction closing binders in accordance with client protocols.
- Communicate with title/escrow companies, lenders, and other parties post-closing.
- Prepare and send electronic links for closing binders and large files.
- Collaborate with attorneys and clients to provide post-transaction support.
Secretarial Overflow
- Support existing secretarial teams with administrative tasks.
- Open new client matters and manage related documentation.
- Prepare and distribute DocuSign forms to relevant parties.
- Update closing documents as directed by attorneys or secretaries.
- Provide coverage during secretarial absences.
Requirements
Notary Public required.
- Professional communication skills across all organizational levels.
- Experience in a law firm, title company, or escrow company preferred.
- 1–2 years of legal secretary experience in a professional setting.
- Strong phone etiquette and client service skills.
- Proficiency in Microsoft Outlook, Word, and Excel.
