Executive Assistant Location/Onsite:

Kaysville, UT | Full-time | On-site Our client is looking for a proactive and highly organized Executive Assistant to join their team in Kaysville, UT. Compensation: $70,000–$80,000, based on experience Health Insurance Benefits Paid Time Off A Day in the Life of the Executive Assistant As the Executive Assistant, you'll serve as the right hand to senior leadership, managing schedules, coordinating communication, and handling key operational details that keep everything moving smoothly. You'll be a trusted gatekeeper, a go-to problem solver, and a critical support to leadership as they focus on strategic initiatives. Responsibilities include: Managing and prioritizing complex executive calendars, meetings, and travel logistics Acting as the liaison between executives and internal/external stakeholders, including monthly investor communications Preparing agendas, taking detailed meeting notes, and tracking follow-up tasks Drafting and editing correspondence, reports, and presentations Coordinating logistics for board meetings, events, and speaking engagements Anticipating needs and resolving potential issues before they arise Supporting special projects, conducting research, and organizing data Managing confidential information with a high level of discretion Overseeing company equipment records, insurance, registrations, and federal/state filings Coordinating safety and compliance tasks with contractors (NDIC, IsNetworld, PEC, Veriforce, MHA TERO) Managing employee drug screenings with third-party providers Leading onboarding processes and benefits enrollment for new hires Preparing payroll reports for workers' comp audits, renewals, and quarterly filings Collaborating with third-party vendors on auto, liability, and workers' compensation coverage Handling annual business and contractor renewals for licenses and certificates Keeping the office stocked with supplies, snacks, and kitchen essentials Requirements and Qualifications: 2-5 years of experience in an Executive Assistant or senior administrative role working with C-level executives Proven experience coordinating employee onboarding, benefits enrollment, and drug screenings Proven ability to juggle multiple priorities in a fast-paced setting Highly organized with sharp attention to detail Excellent written and verbal communication skills Maintains professionalism and discretion when handling sensitive information Self-starter with strong initiative and ability to anticipate needs About the Hiring Company: Our client is a trusted name in their field, recognized for running efficient, compliant, and high-performing business operations.
