Scope of Position The Operations Supervisor plays a vital role in planning and coordinating daily administrative operations to ensure efficiency and aligning with business goals. This position will be responsible for coordinating and supervising the Customer Service and Warehouse Administration teams. This role is ideal for someone who thrives in a fast-paced, logistic-heavy environment, has strong people leadership skills, and can bridge the gap between customer service, shipping and operations.

Essential Duties and Responsibilities Team Leadership & Supervision Supervise, train, and support a team of administrative personnel, including customer service representatives and warehouse administrators. Conduct regular performance reviews, coaching, and professional development planning. Schedule and manage team workloads to ensure adequate coverage during peak order and shipping periods. Order & Customer Account Management Oversee the order entry and order processing lifecycle from customer PO to final shipment. Ensure timely and accurate input of customer orders into the system (ERP or OMS). Work closely with the sales team to support special account needs, pricing accuracy, and customer escalations. Shipping & Logistics Coordination Manage warehouse administrative staff responsible for shipping documents, carrier scheduling, and tracking updates. Ensure shipping documents (BOLs, packing slips, customs documents) are processed accurately and timely. Coordinate with third-party logistics providers, freight carriers, and internal warehouse teams to ensure on-time deliveries. Process Improvement & Efficiency Evaluate current administrative and operational processes, identify inefficiencies, and implement improvements. Create and maintain SOPs (Standard Operating Procedures) for order entry, customer service, and shipping processes. Ensure compliance with company policies, industry standards, and regulatory requirements. System Management & Reporting Utilize ERP, CRM, and shipping software to manage workflow and performance data. Generate regular reports on order volume, customer satisfaction, shipping performance, and team KPIs. Monitor data accuracy and ensure clean, consistent records across systems. Cross-Functional Collaboration Act as a liaison between the operations, sales, warehouse, and logistics teams to ensure smooth information flow. Support product launches, seasonal order surges, or promotional campaigns from a backend operations standpoint. Participate in regular operations planning meetings and provide administrative insight. Customer Escalations & Issue Resolution Handle escalated customer service issues, shipment delays, or administrative discrepancies. Work with customers to resolve disputes, missing orders, or delivery concerns professionally and promptly. Compliance & Documentation Ensure adherence to regulatory and legal requirements (especially in shipping and order documentation). Maintain organized records of shipments, customer communications, and administrative logs for auditing purposes.

Required Education and Experience Degree in Business Administration or similar Strong leadership skills At least three years of experience managing subordinate staff in a high volume, fast pace environment Attention to detail Ability to multi-task, prioritize, and manage time effectively SAP Business One experience is a plus
