Overview:
We are seeking a motivated, coachable rising star to join our team as an Executive Assistant / Office Manager. This on-site role combines high-level administrative support with hands-on office management and payroll coordination. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced environment supporting both internal staff and external contractors.
Key Responsibilities: Administrative & Executive Support Provide direct support to leadership, including calendar management, meeting coordination, and communications. Handle sensitive documents and contracts with discretion and accuracy. Maintain and update CRM systems with relevant contact and project data. Office Management Oversee day-to-day office operations, including supplies, vendor coordination, and workspace organization. Serve as the point of contact for internal teams and external partners. Payroll & Timesheet Coordination Manage timesheets for 80–90 staff and contractors across multiple projects. Maintain a master Excel sheet and submit accurate data to the payroll/factor company. Liaise with payroll providers to ensure timely and correct payments.
REQUIRED SKILLS: 3+ years of experience providing executive support to C-Suite individuals. Experience reviewing and processing contracts such as MSAs, employment agreements etc. Experience handling payroll and timesheets for employees/contractors. Comfortable with general office management responsibilities. Proficiency in Excel. Ability to work on-site 5 days a week
PLUSSES: Experience in the Bio Tech/Pharma industry. Exposure to professional services and consulting.
