Overview

The Receptionist is responsible for greeting customers with a friendly smile and providing a pleasant and welcoming first impression for our valued clientele. As the front-line point of contact for the dealership, the Receptionist should be an outstanding listener and information source, know all points of contact across departments, and promptly address customer inquiries. In addition to receiving and managing inquiries, the Receptionist performs telephone switchboard and routing tasks and various administrative duties. The ideal candidate has working knowledge of the automotive industry, strong administrative and organizational skills, experience with telephone switchboards, and exceptional interpersonal skills.

During working hours:

  • Answer incoming calls, take complete messages, and email them to the proper person.
  • Maintain an accurate log of tags and gas keys in an Excel spreadsheet; save after each entry and ensure fuel keys are locked when the desk is unsupervised.
  • Prepare Trade Pack Envelopes.
  • Prepare Deal Jackets for managers.
  • Check copy machine for paper; order supplies via Apex if stock is low (never wait until completely out).
  • Keep showroom and receptionist desk orderly; shred documents as needed to protect customer information.
  • Sanitize door handles, chairs, credit card machine, and other commonly touched areas during the shift; order alcohol wipes if supplies are low.

Closing Checklist

  • Check copy machine for paper and replenish as needed.
  • Send all messages by email to the appropriate person.
  • Verify that logs (tags and gas keys) match the Excel spreadsheet.
  • Lock all drawers and ensure customer information is secured.

  • Manage inbound switchboard telephonic inquiries and route calls accordingly.
  • Greet all clientele warmly and helpfully; direct to the appropriate department or contact within the dealership.
  • Coordinate questions and issues with the appropriate department personnel.
  • Assist with problem resolution as required.
  • Provide administrative backup to various dealership departments as needed.
  • Handle multiple tasks concurrently with frequent interruptions.
  • Adhere to all company policies, procedures, and safety standards.
  • Perform other duties as assigned.
