Location: Jacksonville, Florida

The Executive Assistant will be the right hand to the Founder & CEO, ensuring their time and focus are maximized on strategic priorities. You will manage day-to-day operations of the office of the CEO, including scheduling, communications, information flow, and project coordination. This is a high-visibility role requiring professionalism, discretion, and the ability to operate in a fast-paced, ambiguous environment.

Roles and Responsibilities: Calendar & Scheduling:

Proactively manage a dynamic calendar, prioritizing meetings, travel, conferences and commitments. Operational Support:

Prepare agendas, briefing materials, and follow-ups for internal and external meetings. Communication Management:

Draft, review, and manage CEO communications (emails, memos, investor updates, etc.). Reading and analyzing submissions, letters, agendas, memos and determining significance; routing to appropriate personnel in a timely and efficient manner. Project Coordination:

Track key initiatives and ensure deadlines are met across leadership and functional teams. Board & Investor Support:

Assist with board materials, investor decks, and fundraising processes. Travel & Events:

Plan complex travel logistics and coordinate executive offsites, conferences, and speaking engagements. Gatekeeping & Prioritization:

Serve as a strategic filter for requests, ensuring the CEO’s focus is on high-value activities. Confidentiality:

Handle sensitive company information with discretion and integrity. Accounting:

Experience in accounting, payroll, or finance preferred – QuickBooks. Prepare invoices and manage banking. Analysis:

Data analysis; Proficient in Access, MS Word, Excel, Outlook. Perform filtering and sorting of data, V-lookup, and other functions. Office Support:

Provide clerical and general office support to other offices. Delegate tasks and responsibilities to other staff members when appropriate.

What We’re Looking For

Experience:

5+ years of experience as an EA, Chief of Staff, or in a similar role supporting a senior executive (preferably in a startup, tech, or SaaS environment). Business Acumen:

Understanding of B2B SaaS dynamics (fundraising, investors, product, GTM) a strong plus. Communication:

Exceptional written and verbal communication skills. Organization:

Highly detail-oriented with the ability to juggle multiple priorities seamlessly. Tech-Savvy:

Comfortable with SaaS tools (Microsoft Office, Carta, Trinet, etc.) Proactive:

Anticipates needs, thinks several steps ahead, and solves problems before they arise. Adaptability:

Thrives in ambiguity, can pivot quickly, and maintains composure under pressure.

Education and Experience: BA/BS or equivalent educational background is preferred. Work Authorization: Must be able to verify identity and employment eligibility to work in the U.S.
