Role OverviewThe Licensing Coordinator will serve as the operational backbone of the licensing function, supporting the SVP of Brand and the Brand Management team. This role combines day-to-day administrative and operational execution with licensing compliance, contract management, and product approval tracking.The position requires someone detail-oriented, process-driven, and experienced in licensing operations to ensure brand standards, contract terms, and royalty processes are executed accurately and on time.
Key Responsibilities
Executive & Administrative Support
Provide ongoing operational and administrative support to the SVP of Brand, including preparing reports, meeting summaries, scheduling meetings, and managing partner communications.
Maintain internal calendars, organize agendas, and track follow-ups from licensee and retail meetings.Contract & Document Management
Manage and track all term sheets, contracts, amendments, and related documents; ensure timely execution via DocuSign.
Maintain internal databases and systems to ensure licensing records, approvals, and contracts are current and organized.Licensee & Partner Communication
Oversee daily operational communication with licensing partners, ensuring compliance with brand standards and guidelines.
Coordinate licensee submissions for product approvals, trademarks, packaging, and marketing assets; ensure alignment with brand and quality standards.Product & Market Oversight
Track and review market samples and product submissions to enforce brand guidelines and retailer requirements.
Coordinate cross-functional review of seasonal line sheets, look books, and sample sets for retail meetings, trade shows, and brand summits.Financial & Royalty Tracking
Assist in the collection and reconciliation of royalty reports and payments; work with Finance to ensure accuracy and timeliness of quarterly reporting.
Provide support in compiling financial data for brand reviews, licensee business plans, and internal reporting.Cross-Functional Collaboration
Work closely with Legal, Finance, and Design teams to support licensing initiatives and ensure compliance across contracts, royalty payments, and product approvals.12. Support marketing initiatives by coordinating sample requests, content approvals, and brand asset distribution to licensees.
Qualifications·
Bachelor's degree in Business, Marketing, Fashion, or related field (or equivalent work experience).·
5–10 years of experience in licensing operations, preferably within fashion, apparel, or consumer lifestyle brands.·
Strong understanding of licensing agreements, product development cycles, and royalty processes.·
Proven experience working with DocuSign and contract management systems.·
Exceptional organizational skills and attention to detail; ability to maintain multiple tracking systems simultaneously.·
Strong communication skills, both written and verbal; able to interface effectively with internal stakeholders and external partners.·
Ability to manage multiple priorities and meet deadlines in a fast-paced, dynamic environment.·
Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word); experience with reporting databases or ERP systems a plus.
