Our client, the oldest Reform synagogue in New York City is seeking an Administrative Assistant. This is a fully onsite perm position. The salary range is between $70,000 - $80,000 annually. The work schedule is Monday – Friday, 9am – 5pm (35-hour work week) ESSENTIAL FUNCTIONS AND RESPONSIBILITIES • Serve as the main point of contact for families throughout the B'nai Mitzvah experience •Work with families to select a Bar or Bat Mitzvah date •Prepare contracts and billing in Salesforce, track payments, follow up as needed •Manage scheduling and communication for family learning workshops and tutoring •Participate in Sunday morning B'nai Mitzvah family workshops as needed. •Serve as the main point of contact for B'nai Mitzvah tutors: provide Salesforce support to track student progress and make connections for families choosing the private tutoring option •Coordinate musical elements: confirm family music preferences, partner with Music Department staff to ensure hiring of musicians, process billing •Work with the Operations team to reserve temple spaces for all rehearsals and events •Work with the Finance team to ensure payment to tutors, musicians and other vendors •Work with clergy assistants as needed (B'nai Mitzvah binders, Torah portion recordings and scheduling support) •Scheduling in person meetings with students, families and clergy •Scheduling BM workshops with families and clergy Administrative Responsibilities • General clerical duties including; correspondence, photocopying, scanning, recording lifecycle information and maintaining office supplies • Ability to anticipate upcoming programmatic responsibilities (e.g., confirming reservations, publicity plans, and maintaining calendar appointments) • Comfortable interfacing with membership and responding in a timely fashion, even in difficult situations • Phone coverage as needed QUALIFICATIONS • Bachelor's degree required • Experience in program development and administration • Outstanding written, verbal, and interpersonal communication skills • Extensive software skills are required, such as proficiency in Microsoft Word, Excel, Outlook, communications software (such as Mailchimp), and data management software, and willingness to learn new programs as well. Effectively sets priorities and manages multiple tasks, with attention to detail • Is a team player, works collaboratively with co-workers, congregants • Comfortable working in a Reform synagogue and able to represent the synagogue in public settings • Candidates must be organized, detail-oriented, flexible, reliable, courteous, and kind.
