Position Summary
The Administrative Assistant provides executive-level support to Command Leadership, ensuring efficient management of schedules, correspondence, and organizational requirements. This position requires discretion, attention to detail, and strong knowledge of Navy correspondence procedures, staffing processes, and DoD administrative policies. The Assistant also ensures the office environment is well-maintained, organized, and fully equipped to support daily operations.
Key Responsibilities Provide direct administrative and clerical support to Leadership, including drafting, editing, formatting, and tracking official correspondence. Manage calendars, appointments, meetings, and travel arrangements for Leadership. Maintain and organize filing systems, including electronic and physical records, ensuring compliance with records management requirements. Assist in preparing talking points, briefings, and official materials for Leadership engagements. Monitor timelines and ensure timely submission of command reports, packages, and correspondence. Coordinate across departments, higher headquarters, and external organizations to support Leadership priorities. Assist with protocol, event coordination, and representation at command-level functions. Maintain office cleanliness, organization, and supplies to ensure a professional and efficient work environment. Maintain strict confidentiality and professionalism in all matters involving Leadership. Qualifications
Experience providing administrative support in a Navy or DoD environment, preferably at the executive level. Knowledge of Navy correspondence formats, staffing processes, and routing requirements. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Navy administrative systems. Strong written and verbal communication skills with the ability to prepare and edit senior-level correspondence. Excellent organizational and time-management skills with the ability to handle multiple priorities. Professional demeanor and ability to interact effectively with senior leaders. Preferred
Prior experience supporting Command Leadership or senior military/civilian staff. Familiarity with Navy administrative processes and command-level operations. Training or certification in executive administration or office management.
