Executive Assistant - Chief Scientific Officer The Executive Assistant is responsible for providing high-level administrative support to the Chief Scientific Officer, ensuring seamless day-to-day operations and optimal efficiency. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The work arrangement for this position is onsite five days per week in Boston, Massachusetts or Washington, DC.

Manage complex calendar, scheduling all business and project-related meetings, with thoughtfulness and advance planning. Organize team offsite events and logistics including agenda planning, meals and team activities. Draft and manage a variety of documents including reports, memos, and correspondence. Act as the primary point of contact for confidential communications, ensuring accuracy and discretion in document preparation and editing. Coordinate complex domestic and international travel in compliance with company policy, including booking flights, hotels, trains, and car services. Manage related financial processes such as expense reporting, and ensure all required travel documentation—visas, passports, and country-specific requirements—is accurately completed. Oversee functional operations including processing expenses, and support special projects as needed. Essential qualifications
Associate or bachelor’s degree in business, communications, or a related discipline preferred. Minimum 5-10 years of Executive Assistant experience in a corporate setting with global experience preferred. Ability to work across multiple time zones. Polished and professional communication style, both oral and written, including impeccable accuracy in formatting. Proficiency in Microsoft Outlook, Word, Excel, PowerPoint and SharePoint. Demonstrated time management and ability to multitask, adapt to changing demands in a fast-paced environment. Highly motivated and detail oriented. Ability to work in a fast-paced start-up environment as well as a large matrixed corporation with multiple stakeholders. Proactive mindset with the ability to anticipate future logistical and scheduling needs. Travel, Motor Vehicle Record & Physical/Environment Requirements
5-10% travel may be required. Additional preferences
Self-motivated, proactive, and capable of working independently or in a team. Ability to understand team objectives and anticipate administrative needs accordingly. Ability to collaborate with other administrative professionals to manage competing needs and schedules. Compensation and benefits The hourly range for this role is $50.00 - $60.00 per hour. This is the range we in good faith believe is the range of possible compensation at the time of posting and may be adjusted. The role is eligible for bonus/incentive pay.
