Job Summary The Communications and Membership Coordinator manages all parish communications, acts as communications liaison to external entities, manages the communications budget, maintains the church directory and membership database (Realm), generates relevant reports, supports member access in Realm and supports a variety of lay-led ministries. Summary of Essential Job Functions 35% Creates and sends or posts parish-wide communications such as: · Weekly print (Sunday Spirit) and email (Blast). · Drafts and publishes bulletins for all services · Sends out weekly service reminders (lectors, intercessors, Eucharistic Ministers, Flower Ministry, Eucharistic Visitors, Hosts, etc.). · Coordinates and publishes accurate parish prayer lists and informs prayer network. · Event-specific emails as needed (special events, funerals, etc.). · All print materials including seasonal mailers. · Church and event signage. · As directed by the Rector and Senior Warden, parish-wide communications of news, events, activities and closings. · Coordinates Spanish translation of communication materials, including maintaining a base of native Spanish-speakers to translate or confirm translations, and using Realm database to distribute communications to parishioners in their preferred language. · Leverages the communication technologies inherent in Realm’s software.

10% Collaborates to create, prepare, coordinate, and disseminate other communications and/or promotional materials: · Coordinates with Rector on all outside media in the event of an emergency. · Works closely with the Annual Pledge Commitment committee to craft campaign themes and materials, produce those pieces, and then coordinate distribution of those materials. · On behalf of lay committees and clergy-led groups, provides communication support and direction on the best communication methods. · Promotes staff-created events and activities (concerts, etc.). · Advertising materials for church and ministries as needed. · Public relations materials as needed. · Mailings for post office, including by non-profit bulk mail or first-class as appropriate.

10% Maintains and updates the Holy Comforter website and all Holy Comforter social media platforms. · Google account administrator · Reviews and updates website content, including the website calendar, at least monthly. · Utilizes Google and social media tools to create fresh content and communicate with seekers and those searching for houses of faith, supporting parish family and growth. · Develops new communication channels as needed.

3% Communications Liaison to entities external to Holy Comforter, including maintaining master contact list(s) for: · Diocesan communications office and surrounding churches when they need information on ministry and mission of our church. · External media outlets and sources when they need information on ministry and mission of our church. · Printing companies and promotional companies to create communications materials as needed.

2% Annual Budget: · Prepares annual communications budget estimate and presents to Rector prior to submittal for Vestry approval. · Manages approved annual communication budget, obtaining approval for any expense overruns prior to incurring them. · Provides input to Parish Life Committee as they prepare the annual parish life budget estimate and allocate approved parish life funding to plan and execute events.

20% Program Coordination and Support · Serves as staff liaison and provides staff support to lay-led ministries: Newcomers, Parish Life, and Adult Spiritual Journeys. · Provides staff support to the various ministries under the Pastoral Care umbrella. · Collects input from lay-led and staff-led ministries at least quarterly to coordinate and facilitate the calendaring of program offerings. · Assists clergy with coordination of special liturgies. · Coordinates liturgical ministers’ licensing and routine scheduling. · Follows membership growth techniques in other organizations and routinely presents ideas to clergy and relevant lay leadership. · Assists Parish Administrator and Vestry with tracking critical metrics.

10% Church Management Software · Serves as subject Matter Expert for Realm membership data management, including “Best Practices”. Routinely trains to advance skills. · Maintains and updates the parish database of members, prospects, visitors, and others through Realm. · Coordinates the formal membership process for newcomers, prospects, and membership transfers. · Maintains records for all baptisms, confirmations, weddings and funerals.

10% Other · Grant writing as time and needs permit. · Acts as the Safe Church Administrator for Holy Comforter. · Attends and participates in weekly staff meetings and other meetings as called. · Assists or completes other duties as directed by the Rector. Requirements

Bachelor’s Degree and/or 5+ years of directly related experience. Background of professional work in public information, journalism, advertising, marketing, current communication technologies, non-profit administration and/or non-profit programming, or related field. Experience with database management Experience creating social media campaigns on a variety of platforms.
