Administrative Assistant

The responsibilities of the Administrative Assistant include providing administrative support to the agency and programs. Specific duties included:

  • Create, revise, and delete documents as requested. Maintain a centralized system for agency documents on the agency network drive and ensure the most updated versions are available on the share drive.
  • Manage electronic calendar for Agency Leadership Team by scheduling in-person and virtual meetings, inviting participants, and reserving meeting space for in-person meetings. Send out meeting agendas, and record and distribute minutes when needed.
  • Create and distribute monthly events calendars and newsletters both within the agency and to the list of community participants and stakeholders.
  • Manage inventory of office and cleaning supplies, distributing to staff members as requested. Ensure that supplies are replenished by either ordering or notifying the person responsible for ordering supplies.
  • Maintaining and distribute various lists and spreadsheets. Create and process letters, memos, certificates, surveys, and reports.
  • Assist with coordinating agency events and meetings including ordering food and providing supplies, making flyers, taking photos or video, reserving venue/conference room, and notifying the IT Department of equipment that is needed.
  • Assist the Maintenance Department when assigned to communicate with and coordinate vendors, including obtaining bids for repairs and/or improvements.
  • Provide coverage for the agency reception by greeting visitors and answering telephone calls and performing the following: triage and coordinate communication between the team and clients; obtain answers to questions for clients, families, community resources, and agencies; work with callers to relieve urgent situations or to temporarily manage them until other staff are available.
  • Promote a culture of inclusion and belonging.

Requirements

Skills/Qualifications for the Administrative Assistant include:

  • High school diploma with five years’ office experience or associate degree or higher with two years’ office experience, human service experience a plus.
  • Working knowledge of computers and software including Excel, Canva and Microsoft Word.
  • Excellent organizational skills, problem-solving skills, making contacts and establishing relationships to obtain necessary information.
  • Valid and insurable driver's license. Must have a personal vehicle to use for business purposes.

Benefits

Salary and Schedule of the Administrative Assistant:

  • Monday-Friday, 8:00am-4:00pm
  • $23.00/hour; $47,840/annual equivalent
