Job Summary
We are looking for a reliable and organized Office Assistant to support our administrative team and maintain an efficient office environment. The ideal candidate will have excellent organizational skills, effective communication abilities, and a proactive attitude. If you are detail-oriented, efficient, and capable of multitasking, we want to hear from you.

Responsibilities
  • Answer and direct phone calls courteously and professionally.
  • Manage incoming and outgoing correspondence, including letters, packages, and emails.
  • Organize and maintain compliance material reports files (Submittals, SDS, Maintenance & Warranty, Samples).
  • Manage office supplies to ensure continuous availability, proactively restocking as necessary.
  • Assist with data entry (specifically entering invoices into QuickBooks).
  • Invoice approval process, and other clerical tasks as required to support the team's workload.
  • Maintain office organization in common areas, contributing to a pleasant and productive workspace for everyone.
  • Collaborate effectively with team members to support overall business operations, sharing information and assisting where needed to achieve common goals.

Qualifications

Required:

  • Bilingual (Spanish & English)
  • High school diploma/GED
  • Previous experience as an Administrative Assistant or in a similar position
  • Excellent computer skills and knowledge of Microsoft office
Preferred:
  • Associates degree or administrative training is preferred
  • Familiarity with QuickBooks
  • Highly organized with excellent time management skills and the ability to multitask.
  • Familiarity with Flooring Materials is a plus.
