JOB SUMMARY : The Ophthalmic Receptionist provides administrative and clerical support to ensure the smooth operation of the medical office. This role involves managing patient communications, maintaining records, and assisting with daily office tasks. The Ophthalmic Receptionist plays a key role in ensuring efficiency, professionalism, and quality service in a healthcare setting.
DUTIES & RESPONSIBILITIES :
1. Answer and route incoming phone calls in a professional and courteous manner.
2. Greet and assist patients, visitors, and staff in person and over the phone.
3. Schedule, confirm, and update patient appointments.
4. Maintain accurate and organized filing systems (both electronic and paper).
5. Process and prepare correspondence, medical reports, and other documents as required.
6. Collect, scan, and input patient information into the electronic health record (EHR) system.
7. Handle incoming and outgoing mail, faxes, and emails.
8. Support physicians and clinical staff with administrative needs.
9. Maintain patient confidentiality in accordance with HIPAA regulations.
10. Perform general clerical duties including photocopying, scanning, and data entry.
11. Assist with billing and insurance documentation as directed.
12. Ensure front office and reception areas are neat, organized, and welcoming.
13. Provides assistance or perform other duties as required and directed by Clinical Management.
14. Maintains confidentiality of all information regarding their patients.
15. Maintain good public relations with other departments, MD's, patients and families. Demonstrates customer service skills.
16. Attends OSHA training upon initial employee orientation and annually completes an OSHA competency.
17. May be exposed to hazardous drugs.
RELATIONSHIP WITH OTHERS :
Direct relationship with patients/families, physicians and staff.
Requirements
EDUCATION/EXPERIENCE/KNOWLEDGE :
• High school diploma or equivalent required; additional coursework or certification in medical office administration preferred.
• Previous experience in a medical office setting highly desirable.
• Strong phone etiquette and communication skills.
• Proficient in Microsoft Office Suite and electronic health record systems.
• Excellent organizational skills with attention to detail.
• Ability to multitask and work in a fast-paced environment.
• Professional and courteous demeanor.
PHYSICAL REQUIREMENTS: Classification of work level: Heavy. Requires sitting, standing, bending and reaching. May require lifting up to 50 pounds using proper body mechanics. Requires manual dexterity to operate standard office equipment such as computer, fax and telephone. Requires hearing and vision that is adequate to perform job duties.
Salary Description
$18.00 - $27.00 an hour based off experience
