We are looking for an Administrative Assistant for our Springdale, AR office. This role is responsible for managing day-to-day office operations, supporting construction project management tasks, assisting with billing and bookkeeping, and ensuring smooth communication between field crews, clients, and subcontractors.

Responsibilities

  • Manage daily office operations, including supplies, equipment, and maintenance coordination
  • Support office staff and field teams with scheduling, job deliveries, inspections, and other logistics
  • Process accounts payable and receivable; assist with invoicing and billing in coordination with the bookkeeper
  • Help maintain accurate financial records using QuickBooks
  • Help maintain organized digital filing systems for contracts, permits, and project documents
  • Coordinate insurance, licensing, and compliance documentation with subcontractors
  • Maintain company calendar
  • Assist employees with onboarding paperwork
  • Plan and coordinate office events
  • Additional administrative duties as needed

Qualifications

  • High school diploma or equivalent (associate’s degree preferred)
  • Strong organizational and communication skills
  • Ability to work independently and manage multiple priorities
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Administrative experience (preferred)
  • Experience with QuickBooks (preferred)
  • Familiarity with construction management software (a plus)
