Overview
Central Garden & Pet is seeking an Administrative Assistant for the Dallas, TX location. This role provides administrative support to executive management, including screening calls, making travel and meeting arrangements, preparing reports, training, and supervising other support staff. Strong computer and internet research skills, flexibility, excellent interpersonal abilities, project coordination experience, and the ability to work with all levels of management, staff, clients, and vendors are required.
Key Responsibilities
- Relieve management of administrative detail on all projects
- Coordinate workflow and update/chase delegated tasks to meet deadlines
- Take initiative in manager’s absence and keep projects on schedule
- Maintain procedures manuals to ensure consistent performance
- Compose correspondence and reports for own or manager’s signature
- Prioritize mail and communications, manage deadlines, and process replies
- Act as liaison for Dallas Vendor (Non-Inventory) additions/changes in SAP with Master Data Team
- Coordinate Dallas SAP Security additions/changes with CG&P Security Team
- Manage inquiries, arrange callbacks, and provide backup materials as needed
- Route calls as appropriate
- Maintain executive calendar and schedule meetings to maximize time efficiency
- Prepare meeting agendas, arrange facilities, and act as recording secretary with action minutes when the executive chairs meetings
- Ensure confidentiality and professional handling of business
- Screen visitors and provide necessary backup data and amenities
- Arrange travel for executives and others as needed
- Update Work Instruction manuals for Production, Procurement, and Supply Chain Management and Warehouse
- Order office supplies for Administration, Procurement, Production, and Warehouse
- Update directories and organizational charts when needed
- Handle project administration and manage plant services (e.g., uniforms, safety equipment, copiers, beverage services)
- Process invoices for payment
- Work independently with little supervision and stay organized, proactive, and efficient
Qualifications
- High school education; some college and/or business courses
- 5+ years’ experience supporting at the executive level
- Excellent calendar management and coordination of complex meetings
- Experience assisting management with PowerPoint presentations
- Strong knowledge of MS Office (Word, Excel, PowerPoint, Outlook); SAP helpful
- Experience scheduling domestic and international travel for management
- Excellent verbal and written communication; diversified PC-based skills; proficient with office technology
- Pleasant disposition, professional appearance, self-starter, dependable
- Detail-oriented, organized, quick thinker
Working Conditions
- Office environment with occasional visits to shop floor/warehouse
- Off-site travel may be necessary
