Responsibilities

  • Reception. Screen in-person visitors, emails, and telephone callers to determine nature and urgency of matters; represent the executive office professionally; respond or refer matters as appropriate; be prepared to react quickly in emergencies and communicate with required parties on campuses or at system office.
  • Preparation of correspondence and reports. Compose letters and other documents; prepare reports by compiling data from financial reports, budgets, research or historical documents; perform calculations of numerical data as needed.
  • Maintenance of schedules and online calendars for assigned executives. Arrange meetings, conference room reservations, technical setups, refreshments, notices; prepare meeting agendas and materials.
  • Schedule and operate video and audio calls using WebEx and Microsoft Teams; proficiency with meeting tools and willingness to learn new skills.
  • Organize and maintain confidential electronic and paper records; locate files as needed.
  • Procurement and vendor management. Develop and submit procurement requisitions, manage invoices for payment processing, place orders for office supplies and related materials based on approved vendor PO.
  • Assist in developing and administering departmental expense budgets based on established needs.
  • Attend convocation and commencement ceremonies and participate in committees and task forces as required; some evening or weekend work may be involved.

Qualifications

  • Associates degree in a related field and relevant experience in administrative/clerical duties.
  • Proven ability to work with culturally, linguistically, and ethnically diverse faculty, staff, and students; excellent interpersonal, oral, and written communication skills; strong IT literacy (Microsoft Office: Word, Excel, PowerPoint, Outlook, Teams, etc.).

Selection Procedure
