Job Description
Inver Hills Community College (IHCC) and Dakota County Technical College (DCTC) are seeking a Central Services Specialist to provide mailing, copying, printing, and paper supply services across both campuses.
This is a three-month temporary position, which may be extended based on business needs.
This position is based primarily at Inver Hills Community College and may require occasional travel between campuses.
Key Responsibilities:
Process incoming and outgoing mail
Manage copy and print jobs and maintain related supplies
Order and distribute paper products
Provide backup support for receiving deliveries
Transport mail and print jobs between campuses
Salary Range:
The correct salary range for the Central Services Administrative Specialist, Intermediate classification is: $20.76 - $27.53/ Hour; $43,347 - $57,483 Annually.
Minimum Qualifications
Knowledge of:
English sufficient to (1) Read, write, and speak effectively to perform job duties; (2) File and retrieve information using both software and paper systems organized alphabetically; (3) Communicate effectively with internal and external customers. (4) Interpret and explain work policies and procedures to college staff.
Basic arithmetic sufficient to (1) Compare delivered items to packing lists; (2) Tabulate monthly charges to departments.
Skills in:
Customer service sufficient to (1) Perform duties with courtesy, tact, respect, and a focus on positive problem solving; (2) Respond promptly to inquiries from customers, vendors, and shippers regarding order status, changes, or cancellations; (3) Communicate and elicit information with tact and diplomacy in difficult situations; (4) Convey complex information clearly as a knowledgeable resource to external agencies and individuals.
Ability to:
Courteously confer with customers to address complaints/requests tactfully and thoroughly.
Effectively communicate and elicit information with tact and diplomacy in difficult situations.
Calculate costs for customers.
Operate complex machinery
Possession of:
Active, valid, and applicable Class D (basic) driver’s license
Physical Requirements:
Ability to:
Work in a seated or standing position for extended periods of time.
Collect, transport, unload, and sort items weighing up to 50 pounds.
Safely place supplies and other materials in storage and display areas, up to a height of four feet.
Preferred Qualification
Previous experience in high-volume copy/print and mail operations.
Technical proficiency in operating advanced mail and print equipment.
Familiarity with computerized systems for tracking print jobs, packages, requisitions, orders, contracts, and costs.
Ability to coordinate tasks and collaborate effectively with other copy/print staff in a fast-paced environment.
Strong interpersonal skills for maintaining professional relationships across a diverse campus community.
Knowledge of college operations, policies, and procedures to ensure accurate responses and appropriate referrals.
Additional Requirements
In accordance with the Minnesota State Vehicle Fleet Safety Program, employees driving on college/university business who use a rental or state vehicle shall be required to conform to Minnesota State's vehicle use criteria and consent to a Motor Vehicle Records check.
