Job Duties

The Deputy Clerk - Judges' Chamber is a deputy clerk assigned to a specialized area of the Clerk's office. The incumbent works under the supervision of the Clerk of the Court and/or the Chief Deputy Clerk. The incumbent will perform a variety of technical, secretarial, administrative, and executive level duties. They include administrative support the Judges, the Clerk of Court, as well as court-wide activities and projects. The incumbent personally handles activities required for efficient case processing and ensures court instructions are executed properly and that legal documents are prepared with accuracy and in accordance with approved policies and procedures, as well as the processing of sub-judge request, mediation and civil commitment hearings.

Minimum Qualifications

A combination of education and experience is required to provide competence in the areas of responsibility and confidentiality. Experience is generally more beneficial and prior court or legal experience is required. Competence in advanced clerical skills permitting working independently and solving problems, critical thinking, exceptional communication and writing capabilities while understanding judges and management's office priorities to be able to adjust accordingly to meet deadlines.

Proficiency in use of personal computers as well as automated systems management and PC applications such as Microsoft Office is required and Case Management and Share Point is preferred.

The Chambers Deputy Clerk must have the ability to respond effectively to the staff, public, attorneys, and all other agencies in a tactful, polite, helpful, and overall professional manner.

Additional Considerations

Reporting Relationships:

Works under the immediate supervision of the Clerk of Court from established judicial and administrative policies and procedures. Minimal direct supervision is required but judges requests, policy changes, unusual procedural problems, or sensitive public relations issues will be referred as follows, to the Clerk of Court or Chief Deputy.

Authority:

As a deputized member of the judicial system, the Deputy Clerk has the authority to sign and issue routine court documents that strictly comply with statutory regulations. Non-routine situations are always referred to the Clerk of Court or Chief Deputy.

Attendance: • Regular attendance at work is an essential function of the job. • Absences due to illness or emergencies must be reported promptly in accordance with local policies and procedures. • Use of annual, personal, and compensatory leave must be requested in advance and requires supervisor approval. Leave must be coordinated with the supervisor to ensure adequate section coverage.

Work Hours:

This is a full-time position. Work hours are 7:30 a.m. to 4:00 p.m. Adjustments to these work hours must be approved in advance by the Clerk of Court or his/her designee.

Technical Duties and Responsibilities:

Performs a wide variety of supervisory, administrative, and clerical duties for the Court's Judges, the Clerk of Court, and Administrative Staff:

Duties and responsibilities include but are not limited to the following: • Fairfax County JDRDC greeter on behalf of the court • Coordinates judge's requests, daily monitoring of dockets, and follows procedures for a judge in recuse cases. • Receive and process PSP Capias and PSP show cause rule capias's • Receive documentation and process mediation agreements • Accept files for processing for Juvenile Intake unit to coordinate the process needs within the units • Coordinate the signatures and return of documents to and from staff and judges • Process all in-coming mail and distribute timely within the court • Route detention hearing child protective orders (PPO) to assigned units • Process Recalled Warrants and route to Courtroom Supervisor • Coordinate all UCCJEA conference calls with judges • Processes judges' leave, scheduling of substitute judges, and prepares payment vouchers. • Greet all sub judges and coordinate access to the court and sub judge chamber (request proxy card if needed) • Prepares documents, and drafts/types of letters for Judges and Clerk of Court, as requested. • Updates and maintains the Judges' calendars • Manage the CAC/GAL certification process • Stock the Judicial Mail counter, and sub judge chambers with supplies • Register Interpreters daily for court hearings • Process sub judge vouchers and handle any issues from this process • Clerk of Court Meeting Agenda and Notes. • Assigns judges' parking lot spaces as needed within the sub judge process • Performs other related duties and cross-training as assigned. • Chair of Celebration Committee with assigned co-chairs from each unit to meet the objectives of this committee
