Construction Bid Coordinator

We’re seeking a detail-oriented Construction Bid Coordinator to support project setup, preconstruction, and bid management. This role will:
Project Setup & Preconstruction Support:
- Lead setup of all incoming new pursuit projects to bid (not awarded work) in company systems, including creating project folders, adding to calendars, and initiating preconstruction workflows
- Review bid project plans, specifications, and drawings to determine required scopes of work
- Track and manage bid milestones and deadlines to ensure preconstruction activities remain on schedule
Bid Management & Document Control:
- Collect, organize, and distribute bid solicitation documents to the estimating team and subcontractors
- Maintain estimating spreadsheets with current bid coverage, scope tracking, and bid project details
- Ensure all required scopes have adequate subcontractor coverage on all bid scopes prior to submission
Subcontractor Relationship Management:
- Maintain strong, positive relationships with subcontractors to encourage participation and competitive pricing
- Schedule and facilitate meetings to improve communication and strengthen partnerships
- Manage onboarding of new subcontractors, verifying qualifications and compliance
Team Support & Cross-Functional Coverage:
- Serve as a dependable resource when team members are at capacity or out of the office, ensuring workflow continuity
- Step in to handle essential marketing tasks, leveraging knowledge of marketing tools and processes to maintain deadlines and quality
- Provide flexible support across departments to keep operations running smoothly and projects on track
