Medical Receptionist

This position requires the ability to multi-task in a fast-paced environment, maintain a positive environment for patients and staff, and participate in problem-solving activities. The person must be detail-oriented, sensitive to patient needs, and capable of functioning with minimal supervision. Responsibilities include maintaining office operations, communicating with patients and staff, and coordinating care with clinical teams. Strong communication with patients, nurses, providers, and case managers is essential to ensure efficient office operations. The role involves clerical duties (answering phones, photocopying, faxing) and delivering high-quality customer service. Patient rapport and respectful communication are essential. Good patient assessment skills are expected. The role requires prioritizing tasks and using space and time efficiently. All duties are essential functions and may be modified to reasonably accommodate individuals with disabilities. This is a position of trust.

Communication

Good oral and written communication skills are required. Ability to communicate with patients and staff and contribute to a positive environment. Bilingual English/Spanish or Creole is preferred but not required.

Key Responsibilities

  • Maintains professional behavior and attitude towards patients, visitors, and coworkers.
  • Keeps waiting and reception areas neat and clean.
  • Greets visitors and vendors and directs them to the appropriate staff members.
  • Captures patient information into Phreesia and converts to Athena during check-in.
  • Greets patients and confirms insurance information and demographics.
  • Collects current and valid patient identification and insurance information for scanning into the chart.
  • Distributes patient packets of information and/or consent forms based on visit reason.
  • Collects patient payments.
  • Checks patients out and schedules follow-up appointments as directed by the provider.
  • Schedules referrals for diagnostic testing and specialty appointments as requested and follows up to ensure attendance.
  • Answers incoming calls and schedules patient appointments; calls patients to remind them of upcoming appointments.
  • Verifies patient insurance eligibility.
  • Manages and maintains provider schedules as appropriate.
  • Clears no-shows, reschedules canceled, and bumps appointments in PM.
  • Opens and closes payment batches.
  • Documents patient contacts and progress in the EHR.
  • Attends educational offerings as appropriate.
  • May conduct outside screening as needed and perform other duties as assigned.
  • May occasionally travel between clinics for coverage.

Qualifications

  • High school diploma or GED required; college degree preferred.
  • Must be cross-trained in electronic medical records, scheduling software, and Microsoft Outlook.

Requirements

  • Level 2 background clearance required.
  • Proof of immunizations for Tdap, MMR, Hepatitis B, and varicella (or varicella documentation) and a PPD test done at hire.
