Job Title: Office Services Associate - Imaging

Schedule: Monday - Friday |9-6pm

Position Overview
The Office Services Associate - Imaging is responsible for providing professional and efficient mail, print, and imaging services within a fast-paced law firm environment. This role requires strong attention to detail, high customer service standards, and demonstrated experience with mailroom operations and reprographics in a legal or corporate office setting. The associate ensures all print and mail tasks are completed accurately, efficiently, and in accordance with client expectations.
Key Responsibilities
Mail & Logistics
Sort and distribute incoming USPS mail, packages, and interoffice correspondence Track inbound and outbound deliveries and ensure timely distribution Prepare outbound shipments and manage carrier pickups (FedEx, UPS, etc.) Monitor and restock mailroom supplies inventory Perform first-level triage and troubleshooting on convenience copiers Reprographics & Imaging Services
Execute print, copy, scan, and binding requests with precision and confidentiality Follow Total Quality Management (TQM) standards to ensure accuracy and on-time delivery Conduct quality control checks before delivering completed jobs Perform first-level printer maintenance and coordinate service calls for repairs Assist with imaging-related tasks such as scanning and file management Daily Site Operations
Act as a liaison between client and Forrest Solutions to manage service requests Maintain professional and organized workspace, including signage and communication boards Support workspace inspections and ensure all areas are client-ready at all times Client Service & Experience
Deliver prompt and courteous service to all employees and guests Address client concerns and follow up to ensure high satisfaction Maintain strict confidentiality in handling sensitive and legal documents Process Compliance
Follow established procedures for mail and print services, including postal regulations Adhere to service level agreements and quality standards Support any special projects, requests, or overflow from other departments as needed Qualifications and Requirements
High school diploma required; college degree preferred Minimum 2 years of experience in a mailroom and/or print services role in a legal or corporate office environment Proficiency in Microsoft Office Suite and imaging software/applications Familiarity with postage meters, scanning tools, and multifunction printers Strong attention to detail and ability to multitask in a fast-paced environment Excellent communication and interpersonal skills Ability to maintain confidentiality and exercise discretion Competencies
