Position Title: Workforce Development Operations and Registration Manager

Department: Workforce Development

Position Purpose:

The Workforce Development Operations and Registration Manager manages and performs daily activities of operations and registration. The Operations and Registration Manager provides essential support to the delivery of workforce training programs for individuals seeking career entry, career advancement, skills building, or self-enrichment, and is responsible for the day-to-day functions of the Division of Workforce Development.

Duties and Responsibilities:

Provides administrative and operational support for new and continuing programming Engaging with potential, current, and former students in-person, phone, email, and digital messaging systems to provide important information about classes, series, fast-track career programs and other workforce development programs Administering VCCS programs such as FastForward, FANTIC, and G3 as well as other financial assistance options Proactively initiate follow-up with and managing enrollment of prospective students Performing administrative programming activities to support open enrollment classes Managing third-party vendor training programs and contracts Tracking credentials, and other state recordkeeping requirements Making decisions about class status based on enrollments and other mitigating or pre-determined factors Assisting with the execution of Workforce Development events and activities Prepping, supporting, and closing out all administrative processes relating to open enrollment classes Assisting workforce instructors as needed or appropriate Procurement and purchase of class and department materials/equipment Instructor contracts; and internal financial and budgeting Financial AR and AP functions of Workforce Development as well as narrative and statistical reporting. KSA's/Required Qualifications

Knowledge of the role of workforce development within the college community and the services we provide. Experience leading operations, administrative services, or enrollment in a workforce training or educational setting. Experience supervising and mentoring others in a collaborative, team environment. Excellent oral and written communication skills, collaborative problem-solving skills, and organizational skills. Experience maintaining an environment of strategic continuous improvement. Proficient in use of Microsoft Office, including Word, Excel, and PowerPoint. Strong interpersonal skills to help engage, provide support to, and motivate students and staff. Ability to lead and serve as a member of a diverse and talented team to achieve a high level of customer service for external and internal customers. Ability to assess skills, needs, and aptitudes of team members to ensure team and individual success and engagement. Ability to manage resources to meet the day-to-day operational staffing needs and task requirements. Troubleshooter: Ability to identify a challenge, determine options, and make a timely decision. Demonstrated experience leading simultaneous team tasks/projects to successful completion. Demonstrated commitment to community college philosophy and student success. Knowledge of workforce classes, fast track career training and other programs that could benefit a potential student. Proficiency with PeopleSoft student information system or Lumens Workforce Enterprise System (WES) student information system. Additional Considerations

Additional education, preferably in higher education, or related field. Experience in operations, administrative services, enrollment, or programs in a workforce training or educational setting. Demonstrated leadership/managerial experience. Knowledge of career training programs, workforce development, and community resources. Effective oral and written communication skills. Ability to communicate with individuals (staff and the public) clearly and concisely via telephone, email, and in person.
