Description: The Shakopee School district is seeking a Special Services Assistant beginning January of 2026. 40 hours per week, 210 days/year. Pay & Benefits: Compensation Range: $24.62-$28.75 per hour, based on experience.

Job Summary: Position provides clerical support for all Early Childhood Special Education Team members. This position includes summer hours.
Managing and Tracking New Referrals:
Track all referrals for our Early Intervention (birth to 3) and ECSE 3 to 5 teams. Create a special ed file for initial referrals and enter students in infinite campus and SpEd forms. Review and accept/reject Help Me Grow referrals. Document and disseminate to appropriate staff. Scan/upload paperwork for new/transfer students into SpEd Forms file.
SpEd Forms:
Request MARSS numbers from the District MARSS Coordinator for "import nightly" in SpEd forms. Update SpEd Forms enrollment tab for all changes during the school year and when students have a change in programming. Create and maintain current and new student files in SpEd Forms and Excel documents. Enter new students into SpEd Forms. Scan/upload paperwork for new/transfer students into SpEd Forms file. Facilitate all student enrollment changes in SpEd Forms. Support Supervisor of ECSE in compiling and reporting data for the purposes of State funding and District planning through SpEd Forms.
Assessment/Eval Support:
Send out and help manage all rating scales and questionnaires for evaluations completed by the 3-5 team.
Special Education Records:
Manage incoming and outgoing student record requests. Copy, email, mail, and/or fax special education records to requesting parties. Box files for students who are transitioning from Pearson to kindergarten (send to school of enrollment). Box students archived files and send to the Special Services Dept. at the District Office. Due Process Management & Support:
Maintain current department timelines for students IEPs and evaluations. Electronically send out all IEPs/PWNs B-5. Track all start dates and enter into SpEd Forms. Ensure all signed consent forms are uploaded to SpEd Forms. Provide support to ensure that the ECSE department is in compliance with State mandated regulations.
Scheduling of annual and initial IEP and Evaluation meetings:
Coordinate/schedule IEP / Evaluation meeting date and time with teams. Schedule/reserve conference rooms for meetings. Complete/finalize notice of team meeting form and mail/email to parent/guardian with procedural safeguards. Schedule an interpreter as needed. Send team reminders and agenda for IEP meetings. Schedule transition meeting from Part C to Part B. Professional Development:
Attend meetings, in-services and workshops as required. Qualifications: High school diploma or equivalent required. Must possess exceptional detail and organizational skills and ability to manage multiple tasks. Experience with Microsoft Word and Excel. Excellent communication skills on phone and in person and excellent written communication skills.
Working Conditions: A majority of the time will be spent on the computer and phone.
