Position Overview
Spalding University seeks an innovative and detail-oriented
Enrollment Technology Coordinator
to serve as the lead administrator-or
Slate Captain -for the university's customer relationship management (CRM) system,
Slate by Technolutions . This position plays a critical role in optimizing the use of technology to support full-cycle admissions, enrollment, student success, and advancement efforts. The coordinator ensures data integrity, fosters campus-wide collaboration, and aligns Slate operations with the university's strategic enrollment goals.
Reporting directly to the Vice President of Admissions and Student Experience, this role is a key contributor to the efficiency, effectiveness, and technological advancement of enrollment operations.
Key Responsibilities
Slate CRM Administration: Serve as the primary administrator and strategist for Spalding's Slate CRM platform. Stay current with Slate functionality and feature releases, proactively implementing enhancements that benefit recruitment and enrollment efforts. Build and manage workflows, rules, forms, portals, communications, and queries within Slate to support cross-campus needs (Admissions, Financial Aid, Student Success, and Advancement). Serve as a liaison between enrollment staff and Slate, ensuring optimal CRM performance and staff utilization. Data Management & Reporting:
Act as the data steward for prospective and incoming student data, ensuring data consistency and compliance across systems. Develop, manage, and maintain custom reporting tools and dashboards to support decision-making by university leadership. Create dynamic funnel stage and conversion tracking tools to monitor key performance indicators across the recruitment and admissions lifecycle. Coordinate regular audits of data to uphold integrity across Slate and other institutional systems (e.g., SIS, Financial Aid). Partner with IT and institutional research to integrate Slate data for holistic reporting and analysis. Strategic Enrollment Support:
Collaborate with the Vice President of Admissions and Student Experience and other university leaders to align Slate's capabilities with institutional recruitment and retention strategies. Deliver real-time, actionable insights to support enrollment forecasting, territory management, and campaign performance. Lead the technological design of the admissions funnel, including automation, lead nurturing, and communications tracking. Interdepartmental Collaboration & Training:
Foster close partnerships between Admissions, Financial Aid, Student Success, Advancement and other departments to enhance data sharing and operational efficiency. Collaborate with the Dean of Student and Academic Success and the Advancement Services and Data Support Manager to ensure efficient, coordinated use of Slate across departments. Train staff and student workers on Slate usage, creating documentation and hosting workshops as needed. Support the communication strategy by helping develop and deploy segmented and automated communication flows in Slate. Recruitment & Outreach Support:
Collaborate with admissions counselors and marketing teams to support virtual and in-person recruitment initiatives through Slate event and portal management. Design and maintain dashboards, workflows, and task assignments within Slate to help counselors prioritize outreach, improve efficiency, and track engagement with prospective students. Provide backend CRM support for travel planning, email campaigns, and territory management tools. Collaborate with the Executive Director of Marketing and Communications to with Assist in implementing strategies for international, graduate, and transfer markets as needed. Communications Optimization & Campaign Tracking:
Design, implement, and optimize multi-channel communication campaigns within Slate, including automated drip campaigns, ad hoc messages, and event-based communications. Set up and maintain UTM parameters and Ping tracking to monitor source attribution and user engagement across digital channels. Analyze and report on campaign metrics such as open rates, click-through rates, bounce rates, and conversion outcomes to inform data-driven decision-making. Partner with marketing and digital communications teams to align messaging and improve lead generation through digital initiatives. Recommend strategies for segmentation, A/B testing, and personalization to increase audience responsiveness and yield. Qualifications
Required:
Bachelor's degree in a relevant field (Information Systems, Higher Education, Business, or related). Demonstrated experience with CRM administration, preferably with
Slate by Technolutions . Strong data analysis, problem-solving, and project management skills. Proficiency in database reporting and tools (e.g., queries, dashboards, pivot tables). Exceptional attention to detail and ability to manage multiple priorities. Excellent communication and interpersonal skills. Preferred:
Previous experience in admissions, enrollment management, or institutional research. Familiarity with APIs, data integration practices, and student information systems (e.g., Ellucian, Banner, or Jenzabar). Experience with email marketing, forms, portals, and workflow automation within Slate. Understanding of digital marketing analytics, UTM tracking, and CRM-based performance dashboards.
