Summary: This position provides general clerical supporting the maintenance department and storeroom back up, by issuing PR for contract services and hard goods. It is responsible for issuing purchase orders when outline agreements exist and for entering purchase orders for all contract hours charged through work orders. The role also collaborates with Accounts Payable to resolve discrepancies and ensure timely vendor payments. Additionally, it involves making time confirmations of work orders for contractors and regularly following up on PRs and Pos. This position works closely with procurement groups to manage purchase orders for goods and services at the site.
Rotates in all warehouse functions including: Order picking, Putaways, Order prep, and shipping/receiving,. Must follow ISO procedures in all phases of warehouse operations. Performs SAP functions with-in the WM module. Knowledge of IATA, IMDG and 49 CFR hazardous regulations for shipment of materials. Practices company safety standards at all times.
Issue service labor/material & purchase requisitions and orders. Time confirmation, enter time of the work orders from contractors and company. Scanning timesheets, documents, and reports Follow up purchase requisition process with stakeholders and procurement. Follow up with vendors purchase order and delivery lead time. Run and support to update maintenance KPI'S.
Principal Responsibilities:
Issue maintenance labor and material purchase requisitions and orders. Issue purchase requisitions and purchase orders for production for hard goods (no raw materials). Issue purchase requisitions and purchase orders for ESH and assist in maintaining PPE supplies for the site and in the vending machine. Work with vendors and procurement to establish outline agreements. Manage and review invoices for accuracy against original purchase order for maintenance and engineering and resolve any discrepancies with vendors and procurement. Back up of storeroom clerk to receive stock items and project materials within the SAP system. Label incoming stock items with SAP material numbers. Back up of storeroom clerk to Enter goods issued on work orders into the SAP system. Adjust stock based on storeroom "sign-off" sheet. Audit inventories and write-off discrepancies. Back up of storeroom clerk to Work with vendors to continually manage the VMI (vendor managed inventory) for the maintenance department. Enter all labor hours for company mechanics into SAP. Scanning timesheets, documents, and reports to support organizational needs. Complete the scanning of engineering paper files and organize them into SiteDoc. Migrate electronic engineering files to SiteDoc, including work orders, inspection reports, drawings, changes to equipment, equipment manuals, and technical specifications. Organize and transfer engineering folders from the H drive to SharePoint, if applicable. Enter all labor hours for contractors (insulators, electricians, pipefitters/welders and general laborers) into SAP. Perform all duties as assigned by management. Participate in safety initiatives for both maintenance and site-wide for all EHSQ activities, forklift trainer for both sites. Manage outstanding invoices by working with the vendor and Essential Accounts Payable Functions Physical Demands:
Physical mobility and agility required, prolonged stooping, stretching, bending. May require working in an environment including non-office hours, weekends, holidays occasionally as needed. Sensory faculties needed to safety perform the job duties that allow a person to react to potential immediate hazardous conditions and to take appropriate actions. Ability to wear required Personal Protective Equipment (PPE) such common protective or safety equipment such as, safety shoes, eye protection, hand protection, heating protection, hard hats, etc. Activities occur inside and outside. The incumbent is subject to outside environmental conditions: No effective protection from weather. The incumbent is subject to extreme cold: Temperatures below 32 degrees F for periods of more than one hour. The incumbent is subject to extreme heat: Temperatures above 100 degrees F for periods of more than one hour.
