Description
Position Summary: The Enrollment and Advising Coordinator, reporting to the Dean of Science and Humanities and Prison Education Program Director, is responsible for managing enrollment, registration, and advising services for the Prison Education Program (PEP) and related student populations. This position requires frequent travel to correctional units to provide on-site enrollment, advising, testing, and student support. The coordinator supports compliance with college policies and state and federal regulations while helping students successfully progress from admission through program completion.
Key Responsibilities:
Enrollment and Registrar Duties Coordinate admissions, testing, transcript review, and enrollment processes for PEP students. Enter and update student information, course registrations, and schedule changes (add/drop/withdrawal) in Student Planning. Conduct and record placement/Accuplacer testing at correctional units. Generate degree audits and review progress to ensure accurate advising and course placement. Process transcript requests, GED verifications, and final billing each semester. Maintain accurate and compliant student records. Advising and Student Support
Provide face-to-face academic advising to incarcerated students each semester. Communicate disability services policy, collect documentation, and initiate accommodations as appropriate. Support student participation in academic clubs and honor societies (e.g., Phi Theta Kappa, NSLS, etc). Assist students in planning for post-release transitions, coordinating with external partners and case managers. Collaboration and Communication
Serve as a contact for prison site coordinators, faculty, and staff regarding enrollment and advising matters. Assist with class roster development and semester enrollment planning. Support tutoring and other student success services as needed at correctional units. Maintain strong communication with the Financial Aid Office, ensuring FAFSA and verification processes are completed. Program Support and Administration
Ensure compliance with institutional, state, and federal regulations, including grant reporting requirements. Support the development of agreements with partner agencies and organizations. Maintain accurate data in institutional systems and grant databases (e.g., Hope Hub). Perform other related duties as assigned. Knowledge, Abilities, And Skills:
Knowledge of admissions, advising, and registrar processes. Ability to effectively advise diverse and nontraditional student populations, including incarcerated students. Strong communication and interpersonal skills for working with students, faculty, staff, and correctional partners. Strong organizational skills to manage enrollment and advising processes across multiple off-site locations. Proficiency with PC-based systems; experience with Ellucian Student Planning preferred. Qualifications
Minimum Qualifications:
Bachelor's degree required. 3-5 years of experience in admissions, advising, registrar functions, or student services. Ability and willingness to travel regularly to correctional units. Preferred Qualifications:
Master's degree. Previous higher education experience in advising, enrollment, or registrar services. Experience working with incarcerated or underserved student populations.
