The UVA Engineering Office of Pre-Award Research Administration is seeking a Grants and Contracts Administrator. The Pre-Award office provides comprehensive service in proposal submission, post-submission pre-award administration, budgeting support for internal and external grant applications, as well as some life cycle award management services and non-funded agreement initiation.

The incumbent will work as part of a team and under guidance to manage proposal submission and post-submission pre-award activities related to research and sponsored projects, such as federal grants, foundation grants, and industrial contracts, as well as for internal applications. Responsibilities Work closely with faculty and staff to prepare grant budgets and administrative documents for pre-proposal submission.

Manage the full grant submission process, including completing forms, drafting letters, uploading proposal documents to sponsor portals, and coordinating the mailing of hard copies.

Review proposal guidelines to ensure compliance with University, State, and sponsor requirements.

Maintain complete and accurate records for all proposals.

Advise faculty on the preparation and submission of proposals to various sponsors, ensuring alignment with funding agency policies and fiscal requirements.

Collect and organize required data for grant applications, renewals, and reports.

Develop budgets in accordance with specific sponsor guidelines.

Communicate directly with sponsors to clarify policies and procedures related to grant preparation.

Monitor the central pre-award mailbox and assist with daily operations to support timely and efficient pre-award administration.

Perform other related duties as assigned.

Minimum Requirements Education: Associate's degree. Experience: At least two years of grant and contract experience; two additional years of experience may be accepted in lieu of degree. Physical Demands: This is primarily a sedentary job involving extensive use of desktop computers. This role does occasionally require traveling some distance to attend meetings and/or programs. Preferred Qualifications Licensure: Certified Research Administrator (CRA) certification. Experience and Skills: Familiarity with complex federal sponsors such as NSF, NIH, DoD and DOE.

Demonstrated knowledge of proposals, including non-FDP subsidies, such as universities, foreign entities, or industry subs.

Demonstrated knowledge of budgeting by tasks, and with proposals for federal contracts or OTAs that may require small business subcontracting plans.

hybrid environment with a minimum of two days per week on-site , following the University's flex-work guidelines.
