In this role, you will perform administrative and technical tasks to ensure smooth operations across multiple construction projects. Working closely with project managers and accounting staff, you will handle documentation, scheduling, communication, and reporting to keep projects organized, efficient, and compliant. Key Responsibilities
Project Administration & Communication
Organize and schedule meetings and appointments.
Maintain contacts and relationships with contractors, vendors, and project stakeholders.
Communicate via phone, email, and in person to ensure timely completion of project tasks.
Documentation & Reporting
Prepare, distribute, and track correspondence, forms, and transmittals.
Maintain accurate company filing systems, both physical and digital.
Support project managers and accounting staff in preparing reports, spreadsheets, and other documentation.
Construction Administration
Coordinate and correspond with general contractors, agencies, and project stakeholders.
Assist with bid openings, tabulations, awards, and construction contracts.
Prepare and manage RFIs, change orders, addendums, contractor submittals, and job meeting minutes.
Track and maintain project-related documents including specifications, drawings, job photos, and payment applications.
Team Support
Provide additional administrative or technical support as assigned by supervisors or project managers.
Minimum Qualifications
Previous office experience in architecture, engineering, or construction administration preferred.
Proficiency in Microsoft Office (Word, Excel, Outlook), Bluebeam, Tekla, and PowerFab.
Strong organizational and planning skills with the ability to multi-task and meet deadlines.
Excellent written and verbal communication skills.
Strong attention to detail, integrity, and professionalism.
Knowledge of office management systems and procedures.
Physical Requirements
Prolonged periods working at a computer.
Ability to lift up to 25 pounds occasionally.
Ability to travel to various project sites.
Comfortable accessing and navigating active construction areas.
Salary & Benefits
Base Salary: $50,000-$65,000+ per year (depending on experience).
