Job Summary
With reporting responsibilities to the Customer Success Manager or Warehouse Manager, this position is directly responsible for the day-to-day dock activities, document preparations and filing. May be required to understand customer pricing and, when asked, accurately update transactions in the computer database. The Warehouse Coordinator will interact daily with warehouse staff, company and non-company drivers, dispatchers, shipping companies, vendors, and support staff. The Warehouse Coordinator will work closely with Sales and Marketing, Accounting, Human Resources and other management. Confidential information must not be shared beyond direct managers or executives.
Essential Functions/Duties
- Maintaining warehouse shipping, receiving, and delivery files
- Maintain and replenish essential office supplies
- Maintain UPS system and prepare end-of-day reports
- Answer phones, forward calls and take messages
- Research information when needed
- Maintain inventory by checking for discrepancies
- Enter location changes provided by warehouse attendants
- Coordinate sample requests and repacks
- Perform cycle counts on customer inventories
- Assist in customer yearly inventories
- Monitor Open Order and No Location screens to ensure orders are updated
- Maintain supply inventory report of dunnage materials and packaging supplies
- Assist department managers and supervisors with special assignments
Additional/Receiving Functions
- Maintain and monitor delivery appointment log on Plastic Express database
- Notify customer of late truck arrivals and approve OT charges as needed
- Maintain driver sign-in/out logs with accurate times
- Match receivers with documents from drivers and carriers
- Input material counts into the system and issue receiving documents and labels
- Notify CSR & management of shortages or damaged material; provide photos when necessary
- Check freight labeling for correct product labeling
- Track daily receiving activities and update Open Order reports
- Coordinate receiving appointments with carriers and port terminal operations
- Inform Warehouse Management of discrepancies
Receiving/Shipping Coordination
- Monitor Open Order Report and shipping request accuracy
- Coordinate questions with CSR on orders
- Prepare bill of lading, pick slips, packing slips and labels
- Match customer documents to pick slips and BOL
- Issue BOL to carrier for signature and scan signed BOL to customer/CSR
- Provide photos to customers for freight loaded onto containers/trailers
- Arrange shipments; assist managers with special assignments
- Notify Warehouse Management of discrepancies
Qualifications
Required Education and Experience
- High school diploma or equivalent
- Ability to read and speak English
Preferred Education and Experience
- Customer service and industry experience preferred
- Some advanced education or working toward a degree
- SAP or other ERP experience/certifications
- Acellos Highjump experience/certifications
- Ability to read and speak Spanish, Chinese, Hindi, or Japanese is a plus
Physical Demands
- Long hours, weekends and holidays; ability to sit for long periods
- Ability to stand/walk, use hands, reach, and interface with warehouse staff
- Vision sufficient for close document verification

Work Environment
Warehouse setting with some outdoor exposure. Uses standard office equipment as well as warehouse tools.
Position Type/Hours
Full-time, Monday through Friday, 8:30 a.m. to 5 p.m.
